Job Description
Job Title: : Tour Executive – B2B (Malaysia DMC)
Location: Delhi Office (India)
Department: Operations & Sales Support
Job Overview:
The Tour Executive will be responsible for handling complete B2B tour operations and coordination for Malaysia. This includes preparing costings and itineraries, managing bookings, liaising with suppliers and agents, ensuring smooth guest operations during travel, issuing invoices, tracking payments, and maintaining reports.
The role demands excellent communication skills, attention to detail, and a proactive attitude to ensure flawless service delivery to B2B agents and their clients.
Key Responsibilities:
1. Costing & Itinerary Preparation
Prepare accurate and competitive tour quotations and customized itineraries for Malaysia.
Coordinate with hotels, transporters, and activity providers to obtain best B2B rates and availability.
Ensure cost sheets are detailed, error-free, and align with company margin policy.
2. Agent Coordination & Sales Support
Communicate effectively with B2B travel agents for package inquiries, revisions, and confirmations.
Provide quick responses and professional follow-ups to convert leads into bookings.
Build and maintain healthy relationships with B2B partners.
3. Operations & Ground Handling
Coordinate with local suppliers, guides, and transporters for confirmed bookings.
Prepare and share Service Vouchers, Travel Itineraries, and Emergency Contacts with agents/guests.
Monitor guest travel progress and resolve any on-ground issues in real time with support from Malaysia operations team.
4. Financial Management
Prepare invoices, track advance and balance payments, and follow up for timely collections.
Maintain payment records and share reports with management on a weekly basis.
5. Reporting & Documentation
Maintain detailed records of all inquiries, quotations, bookings, cancellations, and complaints.
Prepare daily, weekly, and monthly sales and operations reports.
Update internal databases and ensure accuracy of data in CRM/Ebiz system.
6. Negotiation & Vendor Management
Negotiate competitive rates and special deals with suppliers for hotels, transfers, and sightseeing.
Build strong vendor relationships to ensure best service quality and priority support.
7. Quality Control & Feedback
Follow up post-travel for feedback from agents and guests.
Suggest operational improvements and help enhance service quality.
Key Skills & Requirements:
- Minimum 1–3 years of experience in B2B tour operations or DMC handling (preferably Malaysia or Southeast Asia).
- Strong knowledge of Malaysia destinations, hotels, transfers, and attractions.
- Proficiency in MS Excel, Google Sheets, and Ebiz / travel CRM systems.
- Excellent communication and negotiation skills (written & verbal).
- Strong organizational, multitasking, and problem-solving abilities.
- Ability to handle pressure and manage multiple bookings simultaneously.
- Positive, service-oriented attitude with high ownership and accountability.
