Job Description

Job Summary:

The Account Executive will be responsible for overseeing financial transactions and managing the accounts related to sales and purchase, debtors, creditors, daily expenses, bank reconciliation, challan management, and bookkeeping. This role plays a key part in maintaining the financial health of the distributor office while ensuring accurate and timely financial reporting.


Key Responsibilities:


  • Billing (Sales & Purchase):
  • Generate and process sales and purchase invoices accurately and in a timely manner.
  • Ensure proper documentation for each transaction, including relevant purchase orders, delivery challans, and receipts.
  • Ensure compliance with company policies and legal regulations for all billing processes.

  • Debtors & Creditors Management:
  • Monitor and manage accounts receivable (debtors) and ensure timely collection of payments.
  • Keep track of accounts payable (creditors) and ensure timely settlement of outstanding bills.
  • Follow up on overdue payments and assist with dispute resolution.
  • Maintain strong relationships with customers and suppliers to facilitate smooth transactions.

  • Bank Reconciliation:
  • Perform regular bank reconciliations to ensure all financial transactions align with the company's bank statements.
  • Investigate and resolve discrepancies between the company’s records and bank statements.
  • Ensure accurate cash flow management and report any inconsistencies to management.

  • Daily Expenses:
  • Track and record daily office expenses and petty cash transactions.
  • Ensure proper documentation and receipts for all expenditures.
  • Prepare daily or weekly expense reports to keep management updated on office spending.
  • Challan Management:
  • Oversee the issuance and management of delivery challans for goods shipped or received.
  • Ensure all challans are accurately recorded and filed for future reference and auditing.
  • Coordinate with the logistics team to ensure proper delivery documentation is in place for goods distribution.

  • Bookkeeping & Financial Records:
  • Maintain accurate and up-to-date financial records for all transactions, including sales, purchases, expenses, and payments.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.
  • Ensure all financial documentation is prepared and filed in accordance with company policies.

  • General Administration:
  • Coordinate with the finance and accounts team to ensure smooth financial operations.
  • Ensure compliance with accounting standards and company policies in all financial processes.

Key Qualifications:

  • Proven experience in accounting, bookkeeping, or financial management.
  • Familiarity with accounts receivable, accounts payable, and general ledger management.
  • Knowledge of bank reconciliation, sales/purchase billing, and expense management.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Attention to detail and ability to maintain accurate financial records.

Education & Experience:

  • Bachelor’s degree in Accounting, Finance, or a related field (preferred).
  • 2+ years of experience in accounting, bookkeeping, or financial management.
  • Previous experience in the distribution industry or a similar role is a plus.

Skills:

  • Proficiency in accounting software (Tally) and Microsoft Office Suite (Excel, Word).
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Excellent time management skills and ability to meet deadlines.
  • Knowledge of financial regulations and standards.
