Role Overview

We are looking for a reliable and experienced Admin Executive to oversee day-to-day office operations and vendor management while supporting the Founder’s Office with scheduling, coordination, and basic HR administrative tasks. The ideal candidate will be from Noida, familiar with local vendors, and have a hands-on approach to managing administrative and operational activities efficiently.

  • Key Responsibilities:
  • Oversee daily office operations to ensure smooth functioning across departments.
  • Manage vendor relationships — negotiate contracts, handle quotations, and ensure timely delivery of services and materials.
  • Maintain attendance, leave records, and employee documentation.
  • Handle hiring for basic operational roles such as housekeeping staff, drivers, and office assistants.
  • Schedule and coordinate meetings for the Founder and senior management.
  • Manage office supplies, maintenance, and overall workplace upkeep.
  • Support finance/HR teams in processing reimbursements, petty cash, and vendor payments.
  • Maintain databases, reports, and documentation using Excel and MS Office tools.
  • Ensure all tasks are completed effectively, efficiently, and within timelines.
  • Requirements:
  • Minimum 5 years of experience in administration, operations, or facilities management.
  • Must be a Noida local, with good knowledge of local vendors and service providers.
  • Strong negotiation and communication skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace.
  • Organized, proactive, and able to multitask under minimal supervision.
  • Bachelor’s degree preferred.
