Job Summary

We are seeking a highly organized and proactive Office Administrator to support the daily operations of our real estate office. The ideal candidate will manage administrative tasks, support agents, handle client communications, and ensure the office runs smoothly and efficiently.


Key Responsibilities

Office & Administrative Support



Manage daily office operations and maintain an organized, professional workspace



Answer phones, respond to emails, and greet clients and visitors



Schedule appointments, meetings, and property showings



Maintain filing systems (digital and physical)



Real Estate Support



Prepare and process real estate documents (contracts, listings, disclosures, MLS entries)



Coordinate listing launches, open houses, and closings



Track transaction timelines and ensure compliance with deadlines



Liaise with agents, clients, lenders, attorneys, and vendors



Marketing & Listings



Assist with property listings on MLS and other platforms



Coordinate signage, photography, and marketing materials



Support social media posts, email campaigns, and flyers as needed



Financial & Data Management



Track expenses, invoices, and commissions



Maintain databases, CRM systems, and client records



Assist with basic bookkeeping and reporting



Qualifications & Skills



High school diploma or equivalent (college coursework preferred)



1–3 years of administrative experience (real estate experience a plus)



Strong organizational and multitasking skills



Excellent written and verbal communication



Proficiency in Microsoft Office / Google Workspace



Familiarity with MLS systems and CRM tools preferred



Detail-oriented, reliable, and able to work independently
