Purchase Executive (Odoo ERP)

Job Summary

The Purchase Executive is responsible for managing procurement activities, vendor coordination, and ensuring timely availability of materials and services. The role requires hands-on experience with Odoo ERP for purchase cycle management, documentation, and reporting.

Key Responsibilities

Procurement & Vendor Management

Identify, evaluate, and onboard new vendors/suppliers.

Negotiate pricing, payment terms, and delivery schedules.

Maintain strong relationships with existing vendors.

Ensure cost-effective procurement without compromising quality.

Purchase Operations

Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO).

Ensure all purchases align with project budgets and requirements.

Track orders and ensure timely delivery of materials.

Coordinate with site teams, stores, and accounts for material planning.

Odoo ERP Management

Create and manage RFQs, POs, and vendor records in Odoo ERP.

Maintain accurate data entry of purchase transactions.

Monitor purchase workflows, approvals, and order status.

Generate reports related to procurement, vendor performance, and cost tracking.

Inventory & Coordination

Coordinate with stores for stock availability and material requirement planning.

Monitor inventory levels to avoid shortages or excess stock.

Ensure proper documentation for inward/outward materials.

Documentation & Compliance

Maintain proper purchase documentation (POs, invoices, delivery challans).

Ensure compliance with company policies and audit requirements.

Coordinate with accounts for invoice verification and payment processing.

Required Skills & Qualifications

Bachelor’s degree in Commerce, Supply Chain, or related field.

2–5 years of experience in procurement (preferably in construction/MEP industry).

Hands-on experience in Odoo ERP (Purchase Module).

Strong negotiation and vendor management skills.

Good knowledge of materials, rates, and market trends.

Proficiency in MS Excel and documentation.

Strong communication and coordination skills.
