Job Description

Visitor and client management

  • Greet visitors and clients warmly and professionally.
  • Direct visitors to the appropriate person or department.
  • Manage visitor sign-in and issue access cards or badges.
  • Maintain a secure and orderly reception area. 

Communication and administrative support

  • Answer, screen, and forward incoming phone calls, taking messages as needed.
  • Handle and respond to emails and other correspondence.
  • Perform various clerical duties, such as filing, photocopying, and scanning.
  • Sort and distribute mail and packages. 

Office and schedule management

  • Maintain and update appointment calendars for staff.
  • Schedule meetings and book conference rooms.
  • Assist with making travel and lodging arrangements for employees.
  • Monitor and order office supplies to ensure they are well-stocked.
  • Assist with managing office equipment and coordinating with maintenance or cleaning staff. 
  • Monitoring and patrolling: Regularly patrolling assigned areas on foot or by vehicle to check for signs of intrusion, hazards, or suspicious activity. This includes using CCTV and other surveillance equipment to monitor premises.
  • Access control: Verifying the identification of employees and visitors, managing entry and exit points, and checking or issuing passes to ensure only authorized individuals gain access.
  • Incident response: Responding promptly to alarms, emergencies, or security incidents like theft or trespassing. This involves taking initial action, contacting authorities, and ensuring the scene is secured.
  • Reporting and record-keeping: Maintaining detailed logs of daily activities, incidents, and any irregularities. Reporting daily to supervisors as required.
  • Safety and emergency assistance: Enforcing safety regulations and reporting hazardous conditions. Assisting in emergency procedures like evacuations and providing basic first aid if trained.
  • Gender-sensitive situations: Being prepared to handle situations with discretion, which may include conducting searches or screenings of female visitors or employees when required.
  • Women-associated areas: Working in areas specifically designated for women, such as women's locker rooms or nursing mother's rooms, to provide security and assistance.
  • Victim support: Potentially providing support to victims of sensitive crimes, such as sexual assault or domestic violence, in a way that is appropriate and professional.
