Job Description

• Cooperating with the HR Manager, and assisting with anything from project planning to staff management. • Nurturing positive working relationships with staff. • Delegating daily tasks. • Addressing any issues in a timely fashion. • Supervising staff and controlling merchandise. • Ensuring company policies and procedures are followed. • Setting a good example for staff. • Conducting the recruiting process by interviewing candidates, performing background checks, and contacting references. • Facilitating the onboarding process of new staff by conducting training sessions and preparing onboarding documentation. • Maintaining detailed records of personnel files and updating relevant data. • Presenting new or updated HR policies to staff members. • Creating monthly and annual reports on HR metrics. • Overseeing staff performance reviews. • Assisting the HR department with ongoing projects. • Screening telephone calls, taking messages, and responding to queries. • Arranging domestic and international flights, transportation, and accommodation for Directors & Managers. • Managing Managers’ personal and business diaries. • Coordinating meetings, conference calls, and interviews. • Preparing for board meetings, which includes drafting agendas, gathering and printing all necessary documents, and organizing refreshments, staff appreciation functions, and other company events. • Forwarding or replying to emails and correspondence addressed. • Compiling and submitting expense reports to Managers. • Assist with budget monitoring and payroll. • Experience in supporting the End to End Bid Management process for creating quality proposal documents prepared in response to formal RFP/ RFQ/ RFIs or informal business need requests. • Experience managing a team of presales consultants/bid managers, mentoring/guiding the team on day-to-day activities, bid allocations, and also working with Senior leaders on the strategy front. • Must ensure that a high quality competitive and compelling bid response is created and delivered to the Customer. • After the bid submission, guiding the team in offer defense, the relevant storyline for proposal presentations, and participating in bid clarifications with the customer (as and when requested). • Assessing and Addressing the Technical and Commercial Risks Relating to The Bid They Are Working On • If the Bid Is Successful, Brief the Teams Who Will Carry Out the Project Work. Track Tenders of Varied Domains Mainly Annual Maintenance, Biometrics, Outsourcing, CCTV, Etc. • Manage the Bidding Process, Form Consortiums with Partner Firms, Prepare Bid Documents, and Follow Up with Clients/Partners till Bid Submission. • Typing and Preparing All Documents and Correspondence, Such as Letters, Reports, Tenders, Specifications, Submission Proposals, Faxes, Etc. • Clarification of Bid Conditions and Management of The Tender Preparation • Monitoring of The Bid Management in Order to Ensure It Is Aligned with The Organization's Requirements • Coordination of Tender Reviews and Deadlines and Adjust Them to The Frameworks Given by The Customers
