Job Title: Executive Assistant to Managing Director

Department: Management / Project Coordination

Industry: Construction & Real Estate Development

Location: Law College Road, Pune.

Experience & Required: 5 – 8 years

Qualification Required: Bachelor’s Degree in Civil Engineering (Mandatory)

Salary Range: 35,000 – ₹55,000 per month (Based on experience & capability)

Job Summary:

The Executive Assistant to the Managing Director will act as a key support function

to the MD, assisting in technical coordination, initial project discussions,

documentation, and inter-departmental communication. The role requires a strong

civil engineering background, excellent organizational skills, and the ability to

represent the MD in technical and preliminary meetings.

 Key Responsibilities:

Key Responsibilities

1. Technical & Project Support

• Attend initial technical meetings with consultants, architects, contractors,

and clients on behalf of the MD

• Understand and evaluate basic drawings, BOQs, layouts, and project

feasibility

• Assist MD in project planning, execution tracking, and coordination

• Prepare technical notes, MOMs, and action trackers

2. Management & Coordination

• Act as a bridge between MD and internal departments (Projects, Accounts,

Legal, Sales)

• Follow up on MD-assigned tasks and ensure timely closure

• Coordinate with site engineers, vendors, and consultants

• Monitor project updates and flag delays or concerns to MD

3. Documentation & Reporting

• Prepare reports, presentations, and summaries for MD review

• Maintain project files, drawings, approvals, and correspondence

• Draft professional emails, letters, and internal communication

• Maintain confidentiality of sensitive business information

4. Meeting & Schedule Management

• Manage MD’s calendar, meetings, and site visit schedules

• Prepare agendas and ensure follow-up on meeting outcomes

• Coordinate travel, site inspections, and official appointments
