Sales Co-ordinator

The Sales & Purchase Coordinator is responsible for supporting both sales and procurement functions by managing orders, coordinating with vendors and customers, preparing documentation, and ensuring smooth communication between departments. This role involves handling inquiries, maintaining records, tracking deliveries, and ensuring timely execution of purchase and sales activities.

• Key Responsibilities
• Sales Coordination Handle customer inquiries and provide quotations in coordination with the sales team.
• Prepare sales orders, proforma invoices, and follow up with customers for approvals.
• Coordinate with logistics for dispatch planning and delivery schedules.
• Maintain customer database, pricing records, and sales reports.
• Assist in preparing monthly/weekly sales performance reports.
• Ensure timely order execution and resolve customer issues related to orders or deliveries.
• Purchase Coordination Generate purchase orders (POs) based on requirements received from departments.
• Coordinate with suppliers for price quotes, availability, and lead times.
• Track purchase orders and ensure timely delivery of materials.
• Maintain proper records of supplier contracts, POs, and invoices.
• Follow up with vendors for pending deliveries or discrepancies.
• Assist procurement team in vendor evaluation and price comparison.
• Documentation & Reporting Maintain accurate and updated records of sales and purchase transactions.
• Prepare GRNs, delivery challans, invoices, and other related documents.
• Support management with stock reports, order status updates, and required MIS.
• Coordination & Support Act as a bridge between sales, procurement, warehouse, accounts, and logistics teams.
• Communicate order status, delays, or issues proactively to relevant teams.
• Support internal audits related to sales and purchase functions.
