Job Description

  • Manage day-to-day administrative operations at the manufacturing office.
  • Maintain physical and digital filing systems for production orders, invoices, vendor agreements, and HR records.
  • Handle incoming calls, emails, courier services, and correspondence.
  • Production & Factory CoordinationSupport coordination between office and factory floor staff for smooth workflow.
  • Maintain production schedules, work orders, and job cards in coordination with the production manager.
  • Track raw material availability and raise purchase requests when needed.
  • Inventory & Procurement SupportAssist in maintaining records of raw material stock, finished goods, and packaging supplies.
  • Coordinate with the stores and procurement teams for inventory tracking and stock audits.
  • Follow up with suppliers for timely delivery and maintain vendor records.
  • Accounts & DocumentationSupport basic bookkeeping tasks like recording expenses, tracking petty cash, and managing vendor payments with the accounts department.
  • Prepare invoices, quotations, and delivery challans in coordination with the sales team.
  • HR & Compliance SupportMaintain attendance records, leave tracking, and overtime sheets for factory and office staff.
  • Assist with employee onboarding documentation and statutory compliance filings (PF, ESI, etc.).
  • Coordinate safety training sessions and maintain records for audits.
  • Communication & CoordinationServe as the communication bridge between departments (production, sales, dispatch, admin).
  • Schedule meetings, factory visits, and client inspections as needed.
