The Pastry Kitchen Operations & Administrative Manager | Full-Time | On-site Reports to: Operations Head / Chef-in-Charge

About the Role

The Pastry Kitchen is a premimum b2b custom bakery based out of pune& is looking for a sharp and highly organised Supervisor to anchor our day-to-day factory operations. You'll be the connective tissue between our factory team, B2B clients, and vendors - ensuring every order is processed accurately, billed correctly, and delivered on time. This role suits someone who thrives in a fast-paced F&B environment and takes pride in keeping things running smoothly.

Key Responsibilities

Billing & Financial Admin

  • Prepare and manage accurate invoices with timely documentation
  • Maintain clear records of accounts receivable and payable
  • Issue monthly supplier cheques and follow up on outstanding client payments
  • Log daily expenses and cash purchases into Excel or billing software

Order & Delivery Coordination

  • Place orders with suppliers and maintain par stock levels for ingredients, packaging, and accessories
  • Verify quality and quantity of all inward material receipts
  • Log all orders in the kitchen diary to keep the team aligned
  • Schedule outward deliveries via third-party riders, selecting the right vehicle based on order size

Client & Team Support

  • Handle order confirmations, status updates, after-sales follow-ups, and guest feedback
  • Support smooth daily operations in collaboration with the Chef-in-Charge
  • Assist with urgent on-ground purchases or ad-hoc deliveries when needed

What We're Looking For

  • 6months - 3 years in kitchen administration, F&B operations, or a similar coordinator role
  • Proficient in Microsoft Excel and basic billing/invoicing software
  • Strong attention to detail, especially in financial records
  • A calm, solution-first mindset - focused on fixing, not dwelling
  • Collaborative team player with a positive, professional attitude
  • Vendor and logistics coordination experience is a plus
