Billing Executive

Job Title: Billing ExecutiveRole SummaryThe Billing Executive is responsible for managing the end-to-end invoicing process, ensuring that all financial transactions are recorded accurately and on time. You will act as the bridge between the Sales department and the Finance department, resolving discrepancies and ensuring that the company’s revenue recognition is precise.

• Key Responsibilities1. Invoicing & DocumentationInvoice Generation: Prepare and issue accurate invoices, debit/credit notes, and pro-forma invoices based on purchase orders and contracts.
• Data Verification: Cross-check sales orders against delivery notes to ensure quantities, prices, and discounts are applied correctly.
• Tax Compliance: Ensure all billing is compliant with local tax laws (e.g., GST, VAT, or Sales Tax) and company policies.
• 2. Account ReconciliationPayment Tracking: Monitor outstanding receivables and follow up with clients or the sales team regarding overdue payments.
• Ledger Maintenance: Reconcile billing logs with the general ledger to ensure no revenue is "leaking" or unaccounted for.
• Discrepancy Resolution: Investigate and resolve billing errors or customer disputes regarding overcharges or incorrect line items.
• 3. Reporting & AuditDaily Reports: Maintain a daily log of all billed transactions and provide summaries to the Finance Manager.
• Audit Support: Prepare documentation and schedules for internal and external financial audits.
• Refund Management: Process credit memos and refunds according to company SOPs.
