Job Title: HR & Office Operations Executive

Husain A. Shujai & Associates is a growing Chartered Accountancy firm based in Pune. As we expand our team, we are looking for a versatile professional to manage our human resources, client payroll compliances, and daily office operations.


Job Summary:


The HR & Office Operations Executive will be the backbone of our firm’s internal management. This role carries a dual responsibility: ensuring our 10–15 employees are engaged and supported, and ensuring our clients receive accurate payroll and statutory compliance services (PF, ESIC, PT).


Key Responsibilities


1. Human Resources & Recruitment


  • Talent Acquisition: End-to-end recruitment for CA Articles and full-time professional staff (sourcing, screening, and scheduling).
  • Onboarding: Managing the joining formalities and ensuring new hires understand the firm’s values and workflows.
  • Employee Relations: Acting as a bridge between management and staff; addressing professional challenges and resolving "heavy" interpersonal issues.
  • Leave Management: Maintaining accurate attendance records and managing leave requests.
  • Engagement: Organizing team-building activities and employee engagement initiatives to maintain high morale.


2. Client Payroll & Statutory Compliance


  • Payroll Processing: Managing monthly payroll cycles for the firm’s diverse client base.
  • Statutory Filings: Ensuring timely and accurate filing of PF (Provident Fund), ESIC, and PT (Profession Tax) returns.
  • Advisory: Keeping track of changes in labor laws to provide basic guidance to clients regarding payroll compliance.


3. Office Administration & Finance


  • Petty Cash Management: Maintaining the office petty cash book, verifying vouchers, and reconciling expenses.
  • Facility Management: Overseeing general office upkeep, including stationery inventory, pantry supplies, and cleanliness.
  • Vendor Coordination: Managing relationships with AMC providers (IT, AC, Printers) and utility service providers.
  • Record Keeping: Organizing and maintaining vital office documents, licenses, and rent agreements.


Candidate Requirements


  • Education: MBA in HR, M.Com, or a related field.
  • Experience: 2–4 years of experience (Experience within a CA firm or professional service environment is highly preferred).
  • Technical Proficiency: Hands-on experience with PF/ESIC portals and basic accounting/payroll software. High proficiency in MS Excel is mandatory.
  • Soft Skills: Exceptional communication skills, a high degree of empathy, and the ability to handle sensitive information with total confidentiality.
  • Attributes: Proactive, organized, and capable of multitasking in a fast-paced professional environment.
