Job Description

Job Title: Office Operations Manager – Freight Forwarding & LogisticsJob

Summary: The Office Operations Manager is responsible for overseeing day-to-day office operations of the freight forwarding business, ensuring smooth coordination between departments, compliance with regulations, efficient shipment handling, and high-quality customer service.

  • Key Responsibilities manage and supervise daily office operations related to freight forwarding (Air, Sea, and Road).
  • Coordinate with operations, documentation, sales, finance, and customer service teams.
  • Ensure timely booking, tracking, and execution of import/export shipments.
  • Oversee documentation processes including BL, AWB, Invoice, Packing List, COO, and customs clearance paperwork.
  • Ensure compliance with international trade regulations, customs laws, and company SOPs.
  • Liaise with shipping lines, airlines, transporters, agents, and customs brokers.
  • Monitor shipment costs, invoices, payments, and profitability in coordination with the finance team.
  • Handle customer escalations and ensure timely resolution of operational issues.
  • Prepare and review operational reports, KPIs, and performance metrics.
  • Train, guide, and evaluate office and operations staff.
  • Implement process improvements to enhance efficiency and reduce operational risks.
  • Ensure proper record-keeping and data accuracy in logistics systems.
  • Required Skills & Qualifications Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 2+ years of experience in freight forwarding or logistics operations.
  • Strong knowledge of import/export procedures and customs regulations.
  • Excellent communication and coordination skills.
  • Ability to manage multiple shipments and deadlines effectively.
  • Proficiency in MS Office and logistics systems.
  • Strong leadership, problem-solving, and decision-making abilities.
  • Preferred AttributesExperience in handling international clients and overseas agents.
  • Knowledge of Incoterms, trade compliance, and freight costing.
  • Ability to work under pressure in a fast-paced logistics environment.
