Job Description

Administrative Support:

  • Answer phone calls, emails, and inquiries, redirecting them to the appropriate department or team member.
  • Prepare and file documents such as contracts, permits, and project-related paperwork.
  • Maintain and update filing systems (both physical and electronic).
  • Assist in preparing reports, presentations, and other documentation as needed.

Project Support:

  • Help coordinate project schedules, meetings, and appointments.
  • Assist with ordering and tracking supplies and materials for ongoing construction projects.
  • Help track progress on different phases of construction and project milestones.

Communication and Coordination:

  • Communicate with clients, suppliers, subcontractors, and other external parties on behalf of the office or project team.
  • Ensure that any correspondence or documents are properly sent and filed.
  • Prepare and maintain the daily, weekly, and monthly logs for project tracking.

Data Entry and Documentation:

  • Input data into project management software or spreadsheets to track project budgets, timelines, and other resources.
  • Organize and maintain office documentation, ensuring all files are accurate and up to date.

Office Management:

  • Ensure the office environment is clean and organized.
  • Manage office supplies and reorder when necessary.
  • Handle office equipment maintenance requests.

Other Duties:

  • Assist with the preparation of bid documents or tender submissions.
  • Support payroll and invoicing processes by ensuring documentation is correctly filed and processed.
  • Handle other tasks as requested by senior management or project managers.

Requirements:

  • Education: High school diploma or equivalent; administrative certification or degree is a plus.
  • Experience: Previous office administration experience preferred, especially in a construction or civil contracting environment.
  • Skills:
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Good communication skills, both written and verbal.
  • Ability to multitask and handle various administrative duties.
