Job Description
Key Responsibilities:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Handle confidential documents and information with discretion.
- Prepare reports, correspondence, memos, and other documents as required.
- Screen and direct phone calls, emails, and other communications.
- Organize and maintain files, records, and databases.
- Assist in meeting preparations, including agenda creation, minute-taking, and follow-ups.
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Serve as a liaison between the executive and internal/external stakeholders.
- Perform general office administrative tasks such as ordering supplies, managing invoices, and coordinating with vendors.
- Provide support in personal tasks and errands as required by the executive.
- Qualifications & Skills:
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field (preferred).
- Proven experience as a personal secretary, executive assistant, or a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking skills.
- Strong verbal and written communication abilities.
- High level of professionalism and confidentiality.
- Ability to work independently and prioritize tasks efficiently.
- Strong problem-solving skills and attention to detail.
- Flexibility to work beyond standard office hours, if required.
- Preferred Qualifications: Experience in handling administrative duties for senior executives.
- Familiarity with office management procedures and basic accounting principles, MS office ,excel .
- Knowledge of shorthand or transcription is an added advantage.
