Reporting

To: Purchase Manager / SCM Head

1.

Position Objective

To support end-to-end procurement activities for fire-fighting system projects, ensuring timely sourcing, cost optimization, supplier compliance, and adherence to ISO 9001:2015 processes using SAP B1.

2. Key

Responsibilities

A. Procurement Operations

·        Float enquiries, obtain quotations, and prepare comparative statements for materials such as pipes, valves, pumps, detectors, hydrants, sprinklers, panels, cables, accessories, etc.

·        Carry out vendor evaluation, negotiation, and rate finalization and prepare purchase orders in SAP Business One.

·        Ensure procurement as per project BOQ, approved vendor list (AVL), and technical specifications.

·        Coordinate with design, estimation, planning, stores, and project execution teams for timely material finalization.

·        Monitor lead times, delivery schedules, and ensure on-time material availability at site.

B. SAP B1 Procurement & Documentation

·        Create PRs/POs, GRNs, and maintain procurement data in SAP B1.

·        Track purchase order status, material follow-ups, and supplier delivery performance using SAP reports.

·        Ensure accuracy of master data, material codes, tax structures, HSN codes, and inventory records.

C. Vendor Management

·        Identify new suppliers for cost, quality, and delivery improvements.

·        Maintain vendor database, performance records, and support annual vendor audits.

·        Follow up with suppliers for dispatch details, test certificates, warranty documents, and compliance records.

D. ISO 9001:2015 Compliance

• Follow all procurement and quality procedures in line with ISO 9001:2015 standards.
• Ensure documentation control, purchasing process compliance, and traceability.
• Participate in internal audits, corrective actions, preventive actions, and continual improvement initiatives.

E. Cost Control & MIS

• Support cost reduction initiatives through competitive sourcing and supplier development.
• Prepare weekly/monthly MIS reports for PR/PO status, delivery schedules, and savings.
• Track budget vs. actual procurement costs for assigned projects.

3. Skills & Competencies

• Good technical understanding of firefighting equipment & MEP materials.
• Proficiency in SAP B1 (mandatory) and MS Excel (VLOOKUP, Pivot, MIS).
• Strong negotiation, communication, and vendor-handling skills.
• Knowledge of ISO 9001:2015 documentation and quality processes.
• Ability to work under tight timelines in an EPC project environment.
