Sales Coordinator – Performance of Duties

1. Sales Support & Coordination

• Assist the sales team in preparing quotations, proposals, and sales orders.

• Coordinate with clients regarding inquiries, follow-ups, and order confirmations.

• Maintain effective communication between sales, service, and other departments to ensure smooth workflow.

2. Documentation & Reporting

• Prepare and maintain sales-related documents such as invoices, delivery notes, agreements, and correspondence.

• Update and manage sales records, customer databases, and trackers.

• Generate periodic sales reports (daily/weekly/monthly) for management review.

3. Customer Relationship Management

• Respond to customer queries promptly and professionally.

• Provide after-sales support and coordinate with service teams for issue resolution.

• Maintain strong business relationships with existing clients and support in acquiring new clients.

4. Order & Logistics Coordination

• Monitor order processing and delivery schedules.

• Liaise with stores, accounts, and logistics to ensure timely dispatch and accurate billing.

• Track pending orders and payments, ensuring timely collection.

5. Internal & External Communication

• Act as a single point of contact between the sales team and other departments.

• Schedule and coordinate meetings, reviews, and client interactions.

• Assist in organizing sales campaigns, exhibitions, and promotional activities.

6. Administrative Support

• Maintain records of sales expenses, travel claims, and reimbursements.

• Provide secretarial support to the Sales Manager/Head of Department.

• Ensure confidentiality and accuracy of sales-related information.
