Job Description

Role Summary

We are looking for a proactive and detail-oriented Store & Dispatch Supervisor to oversee our warehouse, inventory, and outward dispatch operations. The ideal candidate will ensure smooth inward and outward material flow, maintain accurate stock records, coordinate with logistics partners, and supervise the store team. This is an excellent opportunity for a fresher or early-career professional eager to build a career in FMCG warehouse and supply chain management.

 


Key Responsibilities

1. Inventory & Stock Management

•         Maintain accurate records of all incoming and outgoing materials, finished goods, and packaging.

•         Conduct regular stock counts, cycle counts, and reconcile physical stock with system records.

•         Ensure proper stacking, labelling, and FIFO (First In, First Out) rotation of all products.

•         Monitor stock levels and raise timely replenishment requests to avoid stockouts or excess inventory.

•         Ensure safe storage conditions, particularly for food-grade materials as per FSSAI guidelines.

 

2. Outward Dispatch Coordination

•         Plan and execute daily outward dispatches of finished goods as per delivery schedules and customer orders.

•         Prepare and verify dispatch documentation including delivery challans, invoices, e-way bills, and packing lists.

•         Coordinate with the production team to ensure ready-to-dispatch inventory is available on time.

•         Ensure proper packing, labelling, and loading of goods to minimise transit damage.

•         Maintain a dispatch log and share daily dispatch reports with the management team.

 

3. GRN (Goods Receipt Note) Processing

•         Receive incoming materials — raw materials, packaging, and consumables — and verify against purchase orders.

•         Inspect quality and quantity of received goods and flag discrepancies to the procurement team.

•         Create and enter GRN entries accurately in the ERP / inventory management system in a timely manner.

•         Coordinate with suppliers for short deliveries, damaged goods, or incorrect shipments.

•         Maintain physical and digital records of all GRNs and supporting documents.

 

4. Team & Labour Supervision

•         Supervise daily activities of store helpers, loaders, and packing staff.

•         Assign and monitor tasks to ensure efficient workflow within the store and dispatch area.

•         Ensure team adherence to workplace safety, hygiene, and food handling standards.

•         Provide on-the-job guidance and training to junior team members.

•         Report attendance, performance, and issues to the reporting manager.

 

5. Vendor & Transporter Liaison

•         Coordinate with approved transporters and logistics vendors for timely vehicle availability and dispatch.

•         Communicate delivery schedules, load details, and route information to drivers and transport coordinators.

•         Track in-transit shipments and update the team on delivery status.

•         Maintain a vendor and transporter contact database for quick coordination.

•         Assist in resolving transit complaints, delivery delays, or discrepancies with vendors.

 


Required Skills & Qualifications

•         Graduate in any discipline (Commerce, Science, or Logistics preferred).

•         0 – 2 years of experience in a warehouse, store, or dispatch role (FMCG / food manufacturing preferred).

•         Basic knowledge of inventory management and store operations.

•         Familiarity with GRN processes and documentation (purchase orders, delivery challans, e-way bills).

•         Proficiency in MS Excel, Google Sheets, or basic ERP / WMS tools.

•         Good communication skills in English and the local language.

•         Strong attention to detail, organisational skills, and a problem-solving mindset.

•         Ability to work in a fast-paced, physically active environment.

 


Good to Have

•         Knowledge of FSSAI storage and food safety norms.

•         Exposure to cold chain or temperature-sensitive product handling.

•         Familiarity with GST documentation and e-way bill generation.

•         Prior experience with Tally, Zoho Inventory, or similar tools.

 


Work Environment

•         6-day working week with flexibility during peak dispatch days.

•         On-site role at the manufacturing / warehouse facility.

•         Candidate must be comfortable standing, walking, and supervising physical operations for extended periods.
