Job Description
- Calendar Management:
- Schedule and coordinate appointments, meetings, and events for the managing director.
- Manage and prioritize the executive's calendar to ensure efficient use of time.
- Communication:
- Screen and prioritize emails, phone calls, and other forms of communication.
- Draft and respond to correspondence on behalf of the managing director.
- Travel Arrangements:
- Plan and coordinate travel arrangements, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
- Meeting Support:
- Prepare agendas, attend meetings, and take minutes.
- Ensure that necessary materials and information are available for meetings.
- Information Management:
- Manage and organize documents, files, and information.
- Maintain confidentiality of sensitive information.
- Office Management:
- Oversee the day-to-day operations of the executive office.
- Order and maintain office supplies.
- Task Delegation:
- Delegate tasks to appropriate staff members on behalf of the managing director.
- Follow up on delegated tasks to ensure completion.
- Problem Solving:
- Anticipate and identify potential issues, and proactively address them.
- Solve problems independently and make decisions on behalf of the managing director when necessary.
- Project Coordination:
- Assist in coordinating special projects and initiatives.
- Collaborate with other departments and team members to achieve project goals.
- Prioritization:
- Help the managing director prioritize tasks and responsibilities.
- Manage multiple tasks simultaneously and meet deadlines.
- Stakeholder Management:
- Interact with internal and external stakeholders on behalf of the managing director.
- Build and maintain positive relationships with key contacts.
- Research:
- Conduct research on various topics as needed by the managing director.
- Summarize findings and provide relevant information.
- Financial Administration:
- Assist in budget management and expense tracking.
- Process expense reports and invoices.
- Professional Development:
- Stay informed about industry trends and best practices.
- Attend relevant conferences or training sessions.
