Back Office Executive - Customer Relations & CollectionsPosition OverviewWe are seeking a proactive and personable Back Office Executive to serve as the vital bridge between our company and valued customers. This role combines relationship management, payment coordination, and administrative excellence to ensure smooth business operations and sustained customer satisfaction.

Key ResponsibilitiesCustomer Relationship Management

• Serve as the primary point of contact for customer queries, concerns, and general communication
• Build and maintain strong, professional relationships with clients through regular, courteous engagement
• Understand customer needs and communicate them effectively to internal teams
• Ensure timely resolution of customer issues and maintain high satisfaction levels

Payment Coordination & Follow-up

• Monitor customer accounts and track payment schedules
• Conduct diplomatic follow-ups on pending and overdue payments via phone, email, and WhatsApp
• Maintain detailed records of all payment-related communications
• Coordinate with the accounts team to reconcile payments and update records
• Generate and send payment reminders, statements, and invoices as needed

Administrative & Coordination Tasks

• Maintain accurate customer databases and documentation
• Prepare reports on collection status, customer interactions, and outstanding amounts
• Coordinate between customers and internal departments (sales, accounts, dispatch, etc.)
• Handle customer complaints and escalations with patience and professionalism
• Support order processing, documentation, and delivery coordination as needed

Communication & Reporting

• Communicate professionally across multiple channels (phone, email, messaging platforms)
• Provide regular updates to management on collection status and customer feedback
• Document all customer interactions systematically
• Identify opportunities to improve customer experience and retention

Required QualificationsEducation & Experience

• Bachelor's degree in Commerce, Business Administration, or related field
• 1-3 years of experience in customer service, collections, or back-office operations
• Experience in textile/manufacturing industry preferred but not mandatory

Skills & Competencies

• Excellent verbal and written communication skills in English, Hindi, and Gujarati (preferred)
• Strong interpersonal skills with the ability to build rapport quickly
• Diplomatic approach to payment collections without damaging relationships
• Proficient in MS Office (Excel, Word) and comfortable learning ERP systems
• Good organizational skills and attention to detail
• Ability to handle multiple priorities and work independently
