Job Description
Narayan Sewa Trust is a renowned spiritual and philanthropic organization dedicated to serving humanity through various charitable initiatives. The Managing Trustee, Guruji, is an influential spiritual leader and philanthropist who is deeply involved in the daily operations and vision of the Trust. We are seeking a dedicated, highly organized, and confidential Personal Secretary to assist Guruji in managing personal, professional, and administrative responsibilities.
**Key Responsibilities**:
- **Calendar and Schedule Management**: Efficiently manage Guruji's calendar, including appointments, meetings, and events. Ensure timely reminders and prioritize appointments as per Guruji’s needs and commitments.
- **Correspondence**: Handle all incoming and outgoing communications (letters, emails, phone calls) for Guruji, responding or redirecting inquiries as needed. Maintain a system for organizing and archiving communications.
- **Travel Coordination**: Organize domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries. Ensure all details are in place for smooth travel experiences.
- **Event Management**: Assist with organizing and coordinating events, conferences, and spiritual programs led by Guruji. Ensure logistics, invitations, and other event requirements are efficiently handled.
- **Personal Assistance**: Provide personal assistance with daily activities and tasks, maintaining discretion and confidentiality at all times.
- **Record-Keeping**: Maintain organized files and records, both physical and digital, related to Guruji’s personal, professional, and charitable activities.
- **Liaison**: Serve as a liaison between Guruji and various internal and external stakeholders, including staff, donors, devotees, and guests, ensuring smooth communication and timely follow-ups.
- **Confidentiality**: Uphold the highest standards of confidentiality and integrity, handling sensitive information with care and respect.
- **Administrative Support**: Provide general administrative support, such as preparing reports, presentations, and other documents as needed by Guruji.
- **Special Projects**: Assist in managing special initiatives or projects related to the activities of Narayan Sewa Trust as directed by Guruji.
**Qualifications and Skills**:
- Proven experience as a personal secretary or administrative assistant, preferably within a spiritual or non-profit organization.
- Exceptional organizational and multitasking skills with attention to detail.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exhibit discretion in handling sensitive matters.
- High level of integrity and professionalism.
- Proficiency in Microsoft Office Suite, Google Workspace, and other office management software.
- Fluent in English, Hindi.
- Ability to work under pressure and handle tight deadlines.
- Strong interpersonal skills and the ability to build positive relationships with people at all levels.
