Job Summary


The Back Office Executive will manage daily operations for the Vadodara region through the company’s CRM software. Responsibilities include technician coordination, customer request management, CRM data handling, compliance documentation, vendor onboarding, and administrative support to ensure smooth service delivery.

Key Responsibilities


1. Operations & Technician/Vendor Coordination (via CRM Software)


Assign all daily service calls to technicians/vendors through the CRM software.


Ensure proper technician allocation based on skill, service category, and location inside the CRM system.


Track real-time service status, job progress, and completion updates using the CRM dashboard.


Record and monitor technician/vendor attendance, productivity, and daily work reports inside the CRM.


Handle job rescheduling, delays, and updates directly through the CRM platform.

2. Customer Request Handling (Back-End Only)


Enter all customer complaints, bookings, and service requests into CRM.


Allocate service requests to the correct technician/vendor and follow up until completion.


Maintain accurate logs of customer requests and follow-up activities.

3. CRM Management


Create and update new customer entries in CRM with 100% accuracy.


Keep all customer, vendor, and service data updated and error-free.


Ensure technician assignments, job status, and customer details are always correct in the CRM.

4. Police Verification of Vendors


Collect required documents (ID proof, address proof, photos) from technicians/vendors.


Coordinate police verification for each vendor as per company guidelines.


Maintain organized records—both digital and physical—of all verification reports.

5. Technician Onboarding & App Training


Conduct 1-on-1 meetings with technicians/vendors to onboard and guide them.


Assist them in downloading and installing the vendor app.


Train technicians on:


Accepting jobs


Updating job status


Uploading photos


Tracking payments


Marking attendance



Ensure each technician can operate the app confidently.

6. Data Entry & Reporting


Maintain accurate service logs and technician updates.


Prepare daily, weekly, and monthly MIS reports for head office.


Update CRM and Excel sheets as required.

7. Administrative Support


Assist with billing updates, documentation, and maintaining service logs.


Organize all files, verification reports, and vendor documents.

8. Communication & Coordination


Handle internal communications via WhatsApp, calls, and emails.


Provide timely updates to the city operations and management team.


Act as a bridge between technicians/vendors and the operations department.

Required Skills & Qualifications


Education


Graduate in any stream.


Basic computer knowledge is mandatory.



Technical Skills


MS Excel (basic formulas, pivot table preferred).


CRM/ERP usage knowledge (training will be provided).


Good typing speed and accuracy.



Soft Skills


Strong communication in Hindi, English, and Gujarati (preferred).


Good coordination, follow-up, and documentation skills.


Patience and clarity while training technicians.


Attention to detail and compliance-oriented mindset.

Experience


1–3 years in back office, operations, or technician coordination roles.


Experience in service industry is preferred.
