Job Title: Back-End Executive / Office Coordinator (Interior Design Firm)


Job Summary


We are looking for a detail-oriented and proactive Back-End Executive to support our team. The ideal candidate should be proficient in MS Office, skilled in preparing estimates and quotation and experienced in client coordination, follow-ups, and day-to-day backend operations.



Key Responsibilities


Administrative & Documentation

• Prepare and manage quotations, purchase orders, invoices, and other project-related documents

• Maintain project files, agreements, and records with accuracy

• Handle data entry, spreadsheets, and documentation in MS Office (Word, Excel, PowerPoint)


Client Coordination

• Coordinate with clients regarding project updates, documentation, and payment follow-ups

• Respond to client queries professionally and promptly

• Schedule meetings and follow up on pending tasks


Project Support

• Assist the team in backend tasks such as material tracking, vendor follow-ups, and documentation

• Maintain project timelines, trackers, and reports

• Support day-to-day office operations to ensure smooth workflow


Team Coordination

• Coordinate with vendors, contractors, and suppliers

• Maintain updated contact lists, project sheets, and task trackers

• Assist in procurement follow-ups and logistics when required



Skills & Qualifications

• Strong proficiency in MS Office (Excel, Word, PowerPoint)

• Ability to create, manage, and track invoices, quotations, and project documents

•Good communication and follow-up skills

• good organizational and multitasking abilities

• Attention to detail and ability to work in a fast-paced environment
