We are seeking a proactive and detail-oriented Office Administrator to join our team in CBD Belapur. This role will primarily support our offices across UAE, Qatar, K.S.A., and India, ensuring smooth administrative operations and compliance with internal standards and client requirements.

Key Responsibilities:
General Office Administration:
Assign Job Numbers to Surveyors via WhatsApp or Email.
Email sample reports and Certificates of Approval to Surveyors as required.
Format reports and dispatch them to clients.

Document Control & Coordination:
Assign engineering documents to Engineers and handle DAS dispatch to clients.
Maintain records of all reports and completed jobs.
Update Job Status Reports and Master Document Register daily.
Handle desktop applications for port passes, Letters of Indemnity, and other surveyor related assistance.

Surveyor Coordination:
Follow up with Surveyors for submission of Timesheets, Certificates of Approval, and Checklists after survey completion.
Maintain records of Surveyors, including passport details, port pass validity, training certifications, and updated CVs.

Accounts & Compliance Support:
Assist the Accounts Team by providing supporting documents for invoicing.
Update documents and job folders in line with ISO requirements.
Maintain validity and compliance of statutory office documents and assist with local regulatory requirements.

 
Qualifications & Skills:
Graduate in any discipline 
At least 3-4 years of experience in office administration, documentation, or coordination roles.
Strong communication skills (written and verbal).
Proficiency in MS Office (Word, Excel, Outlook).
Attention to detail, organizational ability, and multitasking skills.
Experience with ISO documentation or engineering firms is an advantage.
