Working Days: Monday – Saturday

Position Overview


Rivotta India Pvt. Ltd., a 33-year legacy organization in Audio Visual, IT Infrastructure & Office Automation Solutions, is seeking a highly efficient and proactive Executive Assistant – Back Office Operations to support the Director & Senior Management.
The ideal candidate must be excellent in English communication, well-versed with advanced MS Office, strong in coordination, documentation, presentations, and business support, while managing multiple tasks with speed and accuracy.




Key Responsibilities



Executive & Administrative Support


Assist the Director in day-to-day operations, scheduling, coordination, and timely follow-ups.
Manage confidential communication and ensure seamless flow of information across departments.
Handle emails, drafting letters, reports, proposals, and professional business correspondences.




Back Office Management


Maintain records, dashboards, and organized MIS documentation.
Ensure timely completion of tasks assigned by senior leadership with accuracy.
Coordinate meetings, internal reviews, customer follow-ups, and escalation tracking.




Business Development Support


Assist in lead tracking, proposal preparation, client coordination, and database management.
Prepare competitive and visually strong presentations for customers and internal reviews.
Support marketing initiatives and maintain customer interaction logs and CRM updates.




Technical & Analytical Skills


Strong working knowledge of MS Office Suite:

Word – business letters, formats, documentation
Excel – VLOOKUP, HLOOKUP, Pivot Tables, Dashboards, data analysis
PowerPoint – excellent presentation creation & formatting

Ability to research and extract relevant data for reports and decision-making.




Multitasking & Collaboration


Coordinate with multiple teams simultaneously to ensure deliverables are aligned.
Provide holistic support to top management across operations, communication, and follow-ups.
Maintain a professional approach and disciplined work ethic.






Skills & Competencies


Excellent written and spoken English with polished communication skills.
Smart, confident, proactive, and organized.
Strong interpersonal skills and a pleasant personality.
Quick learner with high ownership and confidentiality.
Capable of handling pressure and strict timelines.






Eligibility


Minimum 3 years experience in a similar EA/back-office/business support role.
Graduate/Postgraduate in any stream (preferably Business/Administration/Commerce).
Candidates from South Delhi or within 10 km radius of Vasant Vihar preferred.
