Job Description


**Greeting and Welcoming Visitors:** Warmly welcome visitors, clients, and employees upon arrival, and provide assistance as needed.


2. **Answering and Directing Phone Calls:** Manage incoming calls, transfer calls to appropriate individuals or departments, and take accurate messages when necessary.


3. **Handling Inquiries:** Respond to inquiries from visitors, callers, and employees regarding company information, services, and directions.


4. **Managing Appointments and Schedules:** Schedule appointments, meetings, and conference rooms, and maintain calendars for staff members.


5. **Coordinating Meetings:** Assist in coordinating meetings, conferences, and other events by arranging logistics and notifying participants.


6. **Managing Correspondence:** Receive and distribute incoming mail, emails, and faxes, and prepare outgoing mail and packages for shipment.


7. **Maintaining Reception Area:** Keep the reception area clean, organized, and well-maintained to create a positive impression for visitors.


8. **Registering Guests:** Register and sign in visitors,ensure compliance with security procedures.


9. **Assisting with Administrative Tasks:** Provide administrative support, such as typing, filing, photocopying, and data entry, as required.


10. **Handling Payments and Billing:** Collect payments for services or products, process transactions accurately, and issue receipts or invoices.


11. **Providing Customer Service:** Assist customers, clients, and employees with inquiries, requests, and concerns in a professional and courteous manner.


12. **Managing Office Supplies:** Monitor inventory levels of office supplies and replenish stock as needed to ensure smooth operations.


13. **Maintaining Records:** Keep accurate records of visitor logs, appointment schedules, and other relevant information using electronic or manual systems.


14. **Assisting with Security Procedures:** Enforce security protocols, monitor access to the premises, and ensure the safety and security of personnel and assets.


15. **Collaborating with Team Members:** Communicate effectively with colleagues and other departments to facilitate teamwork and efficient operations.


16. **Adhering to Policies and Procedures:** Follow company policies, procedures, and guidelines to maintain professionalism and compliance.


17. **Handling Special Projects:** Assist with special projects, events, or initiatives as assigned by management to support the overall objectives of the organization.
