Job Description: Admin & HR
Role Purpose:
The Administrator will provide essential administrative support to the company. This role will involve a variety of tasks, including office management, data entry, document preparation, and general administrative support.
Key Responsibilities:
Office Management:
1. Greet visitors and answer phone calls.
2. Arrange office repairs and maintenance.
3. Handle incoming and outgoing mail, packages, and deliveries.
4. Assist with event planning and coordination.
Correspondence:
1. Manage incoming and outgoing mail, emails, and phone calls.
2. Relay messages between staff, clients, and suppliers.
Scheduling:
1. Schedule meetings, appointments, and travel.
2. Arrange refreshments and catering for meetings and events.
Records Management:
1. Maintain office records, filing, and archiving.
2. Organize and update document databases.
Financial Support:
1. Track accounts and prepare and send invoices.
2. Use financial management software as needed.
Document Creation and Management:
1. Generate and distribute memos, letters, spreadsheets, forms, and faxes.
2. Ensure documents adhere to company standards and guidelines.
Meeting Support:
1. Take minutes at meetings.
2. Prepare and distribute meeting agendas and materials.
HR Duties:
Recruitment:
1. Assist with the recruitment process, including posting job advertisements, screening resumes, and scheduling interviews.
2. Onboard new hires and provide necessary documentation and information.
Employee Relations:
1. Address employee concerns and questions.
2. Maintain employee files and records.
3. Assist with performance reviews and evaluations.
Payroll and Benefits Administration:
1. Assist with payroll processing and benefits administration.
2. Ensure compliance with labor laws and regulations.
Training and Development:
1. Coordinate training programs and workshops.
2. Maintain employee training records.
Policy Development and Implementation:
1. Assist with the development and implementation of company policies and procedures.
Supplies Management:
1. Order office supplies as needed.
2. Maintain inventory of office supplies.
Interdepartmental Coordination:
1. Liaise with staff in other departments, suppliers, and contractors.
2. Coordinate with other departments on shared projects and tasks.
Required Skills and Qualifications:
1. Strong organizational and time management skills: Ability to prioritize tasks, meet deadlines, and work efficiently in a fast-paced environment.
2. Attention to detail: Ability to accurately and efficiently perform tasks with a high level of accuracy.
3. Proficiency in Microsoft Office Suite: Strong working knowledge of Word, Excel, PowerPoint, and Outlook.
4. Excellent communication skills: Ability to communicate effectively both verbally and in writing.
5. Problem-solving skills: Ability to identify and resolve issues in a timely and efficient manner.
6. Teamwork: Ability to work collaboratively with team members and colleagues from other departments.
