Job Description

  • The Office Assistant plays a crucial role in ensuring the smooth functioning of day-to-day administrative operations within the office. The primary responsibilities include clerical tasks, maintaining office supplies, and assisting in various administrative duties. The Office Assistant supports office staff and management to maintain an efficient and organized work environment.
  • Key Responsibilities:
  • Clerical Support:

  • Answer, screen, and direct incoming phone calls and emails.
  • Assist in preparing, editing, and formatting documents, reports, and memos.
  • Handle photocopying, scanning, and filing of documents.
  • Distribute incoming mail and prepare outgoing mail or packages.
  • Office Organization:

  • Maintain cleanliness and organization of office areas, including reception, meeting rooms, and common areas.
  • Ensure office supplies and inventory are stocked and place orders as necessary.
  • Keep track of office equipment, making sure it is functional and coordinating maintenance when needed.
  • Scheduling & Coordination:

  • Manage calendars, schedule appointments, and organize meetings for team members.
  • Assist with organizing office events and meetings, including booking venues and preparing materials.
  • Coordinate travel arrangements for staff when required (flights, hotels, transport).
  • Data Entry & Documentation:

  • Input data into office systems (spreadsheets, databases) accurately.
  • Maintain accurate and updated records of office documentation.
  • Assist in preparing presentations, spreadsheets, and other reports as needed.
  • Customer Service & Reception:

  • Greet visitors and ensure they are directed to the appropriate departments or personnel.
  • Handle basic inquiries and provide information to clients, vendors, and visitors.
  • Ensure the front desk is always manned and present a professional atmosphere for the company.
  • Administrative Support:

  • Assist in basic bookkeeping tasks, such as managing petty cash or processing invoices.
  • Support human resources with administrative tasks such as scheduling interviews or onboarding new hires.
  • Assist in managing office policies and ensuring employees comply with office protocols.
