Job Description

  • The Front Office Executive is the first point of contact for clients, visitors, and employees. This role is essential in representing the company’s image through professionalism and excellent communication. The individual will manage front-desk operations, handle administrative duties, and ensure that visitors and clients have a positive experience when interacting with the organization.
  • Key Responsibilities:
  • Reception Management:

  • Greet visitors, clients, and employees as they arrive and provide assistance or direct them to the relevant departments.
  • Manage the front desk, ensuring it is well-organized and presentable at all times.
  • Answer, screen, and direct phone calls to the appropriate staff members, taking messages where necessary.
  • Visitor Coordination:

  • Maintain a visitor logbook and ensure proper identification and badges are issued to guests.
  • Notify employees of the arrival of visitors and ensure they are escorted to the appropriate areas.
  • Coordinate with security for visitor access and handle any visitor inquiries professionally.
  • Administrative Support:

  • Handle administrative duties such as filing, data entry, and document preparation.
  • Receive and sort incoming mail and deliveries; arrange for outgoing mail and courier services.
  • Assist in managing office supplies and placing orders as necessary.
  • Scheduling & Appointments:

  • Schedule and confirm appointments and meetings for staff, clients, and visitors.
  • Maintain calendars and appointment logs for senior management and ensure schedules are up-to-date.
  • Prepare meeting rooms and ensure they are properly equipped with necessary materials (e.g., stationery, presentations).
  • Customer Service:

  • Provide basic information to clients and visitors regarding the company’s services or direct them to the relevant department for more detailed inquiries.
  • Handle complaints, queries, and provide resolution or escalate the matter to the appropriate authority.
  • Assist in handling incoming inquiries via phone or email and forward them to the correct personnel.
  • Coordination & Communication:

  • Act as a point of communication between clients, visitors, and internal departments.
  • Coordinate with other administrative and support staff to ensure the smooth operation of front-office tasks.
  • Communicate important messages and information to staff as necessary.
