Job Title: Executive Assistant to CEO & Co-Founder

Job Overview:

We are seeking an organized, proactive, and resourceful Executive Assistant to provide high-level administrative support to our CEO & Co-Founder. This role demands exceptional time management, attention to detail, and the ability to handle a range of responsibilities including email and calendar management, meeting coordination, presentation preparation, and other day-to-day tasks.

Key Responsibilities:

  • Time Management:
  • Maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize tasks and appointments, ensuring efficient use of the CEO's time.
  • Email Management:
  • Monitor and manage the CEO's inbox, prioritizing important communications and responding on behalf of the CEO when appropriate.
  • Draft, proofread, and send emails and correspondence as needed.
  • Meeting Coordination:
  • Schedule and coordinate internal and external meetings, ensuring all necessary documents and information are prepared in advance.
  • Prepare agendas, take meeting minutes, and track follow-up actions.
  • Presentation and Document Preparation:
  • Assist in creating presentations, reports, and other materials for meetings and conferences.
  • Conduct research and gather data as required to support decision-making.
  • Small Tasks Management:
  • Handle day-to-day administrative tasks, such as expense reporting, filing, and office management duties.
  • Execute personal errands and small projects as required by the CEO.
  • Other Responsibilities:
  • Act as a liaison between the CEO and various stakeholders.
  • Handle any additional tasks assigned by the CEO in an efficient and timely manner.
  • Maintain confidentiality and discretion at all times.

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with other relevant software tools.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Professional demeanor and the ability to handle sensitive information with discretion.
  • Ability to anticipate needs and proactively address them.
  • Remote option is available as its a hybrid role.

Preferred Qualifications:

  • Experience working in a startup or dynamic company environment.
  • Familiarity with project management tools like Trello, Asana, or Slack.
