Job Description

  • Responsibilities:Travel Coordination: Manage all travel logistics for the Director, including booking flights, accommodations, and creating detailed itineraries for domestic and international travel as needed to ensure smooth travel experiences. Should be prepared to travel internationally when necessary.
  • Meeting Coordination and Calendar Scheduling: Organize and facilitate meetings, including preparing agendas, taking minutes, scheduling appointments and following up on action items to ensure effective collaboration.
  • Executive Support: Assist the Director in managing day-to-day operations and strategic initiatives, ensuring priorities are met.
  • Communication Management: Act as a liaison between the Director and internal/external stakeholders, ensuring timely and effective communication.
  • Document Preparation: Prepare and organize reports, presentations, and correspondence for meetings and strategic initiatives.
  • Confidentiality Maintenance: Handle sensitive information with discretion and maintain confidentiality in all communications.
  • Project Assistance: Support special projects as needed, conducting research and data analysis.
  • Skills:Travel Management: Strong skills in coordinating complex travel arrangements efficiently and cost-effectively, including international travel.
  • Organizational and Problem-Solving Skills: Excellent ability to manage meetings, calendar scheduling, and travel plans with meticulous attention to detail, including taking accurate minutes and proactive issue resolution.
  • Communication Skills: Strong written and verbal communication skills in English.
  • Tech Proficiency: Proficient in Microsoft Office Suite and other relevant software.
  • Experience: Minimum of 1-4 years in a similar role, preferably supporting senior management.
  • Educational Background: Degree in Business Administration, Communications, or a related field is preferred.
