Job Description

Job Title: Front Desk Coordinator

Reports To: Director

Job Summary:

The Front Desk Coordinator will serve as the primary point of contact for the office, providing administrative support across the organization. This role involves coordinating and delegating tasks to all employees, managing the director's appointments, taking and delivering reports, and maintaining workflow data on Excel. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities efficiently.

Key Responsibilities:

  • Task Coordination and Delegation:
  • Assign tasks to employees as per the director's instructions.
  • Monitor progress and ensure timely completion of tasks.
  • Facilitate communication between departments to ensure cohesive operations.
  • Report Management:
  • Collect, compile, and deliver reports to the director.
  • Ensure all reports are accurate and submitted on time.
  • Maintain a filing system for all reports and correspondence.
  • Workflow Data Management:
  • Maintain and update workflow data on Excel.
  • Generate regular reports on workflow status and efficiency.
  • Identify and report any workflow bottlenecks or inefficiencies.
  • Appointment Management:
  • Schedule and manage all appointments for the director.
  • Coordinate meetings, including preparing agendas and taking minutes.
  • Ensure the director is informed of all appointments and any changes.
  • Front Desk Operations:
  • Greet and assist visitors in a professional and friendly manner.
  • Answer and direct phone calls, and handle general inquiries.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Administrative Support:
  • Assist with general office duties such as filing, photocopying, and mailing.
  • Manage office supplies inventory and place orders when necessary.
  • Support other departments as needed with administrative tasks.

Qualifications:

  • Education:
  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Business Administration or related field preferred.
  • Experience:
  • Proven experience in a front desk or administrative role.
  • Experience with task coordination and report management.
  • Skills:
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Professional demeanor and strong customer service skills.
