Position Title: Office Admin Executive

Job Overview:

We are looking for a highly organized and efficient Office Admin Executive to handle various office-related tasks. The ideal candidate will manage day-to-day administrative duties, including handling messages in office communication groups, maintaining attendance reports, managing camera access, assisting with recruitment, and utilizing job portals like Apna, indeed, etc., to post job openings and review applications.

Key Responsibilities:

  1. Office Communication:
  • Monitor and respond to messages in the office communication group.
  • Ensure smooth communication flow between employees and management.
  1. Attendance Management:
  • Maintain daily attendance records for all employees.
  • Prepare monthly attendance reports for payroll processing.
  1. Camera Access & Security:
  • Manage camera access and ensure the security systems are functioning properly.
  • Coordinate with the security team to monitor office premises.
  1. Recruitment Support:
  • Assist in recruitment efforts by posting job openings on various job portals such as Apna, indeed, and others.
  • Screen resumes, schedule interviews, and maintain candidate records.
  • Collaborate with hiring managers to understand staffing needs.
  1. Job Portal Management:
  • Regularly update job listings on portals (Apna, indeed, etc.).
  • Track application responses and forward shortlisted candidates to the relevant department.
  • Coordinate with potential hires for interview scheduling and follow-ups.

 

  1. General Office Support:
  • Manage office supplies and equipment, ensuring availability and proper functioning.
  • Assist with scheduling meetings and appointments for management.
  • Handle any administrative tasks assigned by supervisors or department heads.
  1. Reporting:
  • Prepare daily, weekly, and monthly reports as needed for management review.
  • Ensure timely submission of attendance and recruitment reports.

Skills & Qualifications:

  • Proven experience as an office administrator or in a similar role.
  • Strong communication skills (both verbal and written).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with job portals (Apna, Indeed, LinkedIn, etc.).
  • Excellent organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.

Educational Qualifications:

  • Bachelor’s degree in business administration, human resources, or related field (preferred).

Additional Information:

  • Previous experience in a similar office administrative role is a plus.
  • Ability to work in a fast-paced environment and handle multiple tasks.
