Billing & Cost Control

SECTION II: ROLE SUMMARY (Purpose of the Role)

The Billing & Payment Engineer supports the end-to-end customer invoicing and vendor payment coordination process within a large-scale EPC project. Reporting to the Project Manager, the role is responsible for timely customer billing, payment realization, and vendor payment follow-up. The incumbent coordinates with project, site, finance, contracts, procurement, and client teams to ensure accurate invoice submission, certification, payment tracking, and issue resolution. The role also includes maintaining billing and payment records, monitoring receivables and payables, preparing status reports, ensuring compliance with contractual requirements, and supporting effective cash flow management throughout the project lifecycle.

SECTION III: KEY RESPONSIBILITIES/ ACCOUNTABILITIES

Customer Billing & Invoicing

  • Prepare and submit customer invoices in line with contractual milestones, work progress, and billing schedules. 
  • Coordinate with Project, Planning, Site, and Contracts teams for timely availability of supporting documents required for invoicing. 
  • Track invoice certification, approval status, and follow up with customers for timely payment realization. 
  • Maintain records of submitted invoices, certifications, receipts, and outstanding payments.

Vendor Payment Coordination

  • Coordinate with Package Engineers, SCM, Site, and Finance teams for timely processing of vendor and subcontractor invoices.
  • Ensure completion of SAP activities such as GRN, SES, PGI, and other payment prerequisites.
  • Track vendor invoices, payment approvals, and payment release status.
  • Resolve invoice-related discrepancies through coordination with internal stakeholders and vendors.

Receivables & Payables Monitoring

  • Monitor customer receivables and vendor payables and maintain updated trackers. 
  • Follow up on overdue customer payments and support collection efforts. 
  • Monitor payment commitments and provide early alerts on potential cash flow issues. 
  • Assist in reconciliation of billing and payment records.

Compliance & Audit Support

  • Ensure compliance with contractual, statutory, taxation, and company requirements related to invoicing and payments. 
  • Maintain complete billing and payment documentation for audit and compliance purposes. 
  • Support internal and external audits by providing required records and reports.

Tools & Reporting

  • Maintain billing, receivables, payables, and cash flow trackers in SAP and other project systems. 
  • Generate periodic reports on invoicing, collections, outstanding receivables, vendor payments, and cash flow status. 
  • Maintain organized electronic records of invoices, certifications, payment receipts, and related correspondence.
