Logistics Executive

Job Responsibilities for Operations Team :

•                    Review emails and check the status of all previous day and overnight shipments at the start of each day.

•                    Monitor pickup statuses using auto reports and shipment updates to ensure all loads are moving according to schedule.

•                    Follow up with carriers regarding missed or delayed pickups and request driver ETAs to provide accurate updates.

•                    Collect tracking links from carriers once the load are picked up, update them in the company portal, and regularly monitor shipment progress through the links to ensure deliveries are on time.

•                    Contact carriers daily to collect the latest shipment updates and provide customers with status reports at least twice a day.

•                    Prepare and send shipment status updates, including load numbers, pickup status, in-transit updates, completed deliveries, and any delays or issues to the customer.

•                    Keep the company portal updated by changing load statuses such as pickup scheduled, picked up, in transit, delivered, and invoiced as shipments progress.

•                    Ensure shipment information in the company portal is accurate and up to date to reduce confusion and maintain clear visibility of all active loads.

•                    Coordinate with customers and carriers regarding delays, delivery issues, appointment changes, and rescheduling requirements.

•                    Act as the main point of communication between customers and carriers to resolve shipment-related concerns and provide timely updates.

•                    Receive weekly load lists from customer and coordinate with available carriers based on their service areas, major lanes, and availability.

•                    Contact carriers to negotiate freight rates and assign loads according to suitable routes and carrier capabilities.

•                    Prepare and send load tenders with accurate shipment details, correct company information, pricing, payment terms, and required documentation.

•                    Attach necessary customs documents and supporting paperwork when sending load tenders to carriers.

•                    Follow up with carriers to confirm that load tenders have been received and accepted the same day and next day.

•                    Handle urgent shipment requests received in the middle of the week by contacting carriers quickly, negotiating rates, and arranging transportation.

•                    Review additional charges such as waiting time and lumper fees, restacking charges etc. obtain required approvals, update shipment details, and issue revised tenders when necessary.

•                    Maintain professional relationships with both carriers and customers through regular communication and timely support.

•                    Ensure carriers receive proper assistance and maintain strong working relationships to support smooth operations.

•                    Upload carrier invoices, shipment documents, and load records to OneDrive and maintain organized files.

•                    Update shipment lineups and add new loads received during the week to ensure all shipments are properly tracked and managed.

•                    Maintain accurate records of all shipments, communications, and operational activities to support efficient daily operations.
