Project Coordinator

# Key Responsibilities

### 1. Cross-Pod/Business Unit Roadmap Tracking & Delivery

* Maintain a consolidated view of roadmap items across all pods, tracking progress against committed timelines.

* Proactively follow up on open action items, pending decisions, and deliverables with pod leads and team members.

* Ensure roadmap milestones are visible, understood, and actively worked towards at all times.

* Flag delivery slippages early and escalate them with appropriate context to the right stakeholders.

### 2. Jira & Other Tools – Collaborative Hygiene & Delivery Practice Adherence

* Champion and enforce Jira usage standards, ensuring tickets are created, updated, estimated, and closed according to agreed delivery practices.

* Regularly audit sprint boards across pods to identify stale tickets, missing acceptance criteria, unlinked dependencies, and velocity anomalies.

* Conduct regular Jira hygiene drives and guide pod members on correct workflows and usage.

* Generate and distribute sprint/delivery health reports from Jira to keep leadership informed.

### 3. Blocker Identification & Resolution Follow-Up

* Maintain a live blockers register across all pods, tracking each blocker’s owner, age, and resolution status.

* Facilitate cross-pod and cross-functional discussions required to unblock teams across engineering, product, design, QA, and infrastructure.

* Escalate unresolved blockers to the appropriate level with clear context and a proposed path forward.

* Track recurring blocker patterns and recommend systemic improvements to reduce repeat issues.

### 4. On-Time Delivery Facilitation

* Drive release-readiness checklists and pre-delivery coordination across pods.

* Coordinate go/no-go discussions, ensuring all dependencies are addressed before delivery milestones.

* Maintain a forward-looking calendar of planned deliveries, releases, and key ceremonies.

* Work closely with QA, DevOps, and Product teams to align on delivery gates and ensure smooth handoffs.

### 5. Pod-Level Delivery Practice Coaching

* Observe pod ceremonies, including stand-ups, planning sessions, and retrospectives, and provide lightweight coaching on delivery best practices.

* Help pods adopt and consistently follow Agile/Scrum delivery practices as defined by the delivery framework.

* Identify pods that require additional support and proactively engage with their leads.

* Create and maintain delivery playbooks and reference guides to enable pods to self-serve.

### 6. Stakeholder Communication & Reporting

* Produce weekly delivery health dashboards summarizing pod-level status, upcoming deliveries, and key risk flags.

* Serve as the escalation point of contact for delivery-related queries from Product Owners and leadership.

* Facilitate cross-pod syncs and dependency reviews to ensure alignment on shared timelines.

# Skills & Qualifications

## Must-Have

* 5+ years of experience in project coordination or delivery management roles.

* Proven experience working with multiple parallel teams or pods.

* Strong hands-on Jira expertise, including board configuration, reporting, and workflow management.

* Excellent written and verbal communication skills for cross-functional stakeholder management.

* Demonstrated ability to manage blockers and drive accountability without direct authority.

* Comfortable working in fast-paced, high-ambiguity environments.

* Structured approach to tracking and follow-ups, with strong attention to detail.
