Employment Type: Full-time
Job Purpose
We are looking for an Import & Export Accountant responsible for handling accounting activities related to domestic import purchases, import landed costs, export sales, export receivables, and export bill discounting.
The role will involve close coordination with Purchase, Sales, Logistics, C&F Agents, Banks, Treasury, and internal Finance teams to ensure accurate accounting, reconciliation, documentation, and timely closure of import and export transactions.
Key Responsibilities
1. Import Accounting & Accounts Payable
Record and verify supplier invoices and supporting import documentation.
Book import purchases accurately in the accounting/ERP system.
Verify invoices against Purchase Orders, GRNs, Bill of Entry, and supporting documents.
Account for all import-related costs, including:
Customs Duty
IGST on Imports
Shipping / Freight
Clearing & Forwarding (C&F) Charges
Port & Terminal Charges
Insurance
Other incidental import expenses
Ensure appropriate landed-cost accounting and capitalization of eligible costs.
Prepare shipment-wise landed-cost statements.
Track outstanding import bills and coordinate with Purchase, Logistics, C&F, and Treasury teams for timely payment.
Ensure all import-related costs are properly accounted for before month-end closing.
2. Import Documentation & Reconciliation
Verify and maintain import documents such as:
Bill of Entry
Commercial Invoice
Packing List
Bill of Lading / Airway Bill
Freight Invoice
C&F Invoices
Customs Duty and IGST documents
Reconcile import purchases, freight, C&F, customs duty, and other import-related expense ledgers.
Identify and resolve unmatched invoices, pending documents, and accounting discrepancies.
Coordinate with Logistics and C&F teams to obtain pending invoices and supporting documents.
Maintain proper documentation for audit and internal control purposes.
3. Export Accounting & Accounts Receivable
Prepare and record export sales invoices accurately.
Verify export invoices against sales orders, shipping documents, and applicable commercial terms.
Maintain export customer receivable ledgers and monitor outstanding export invoices.
Coordinate with Sales, Logistics, and Documentation teams for timely completion of export documentation.
Track export bills from invoice generation through realization.
Record customer receipts and ensure proper adjustment against outstanding export invoices.
Monitor overdue export receivables and coordinate with relevant teams for timely collection.
4. Domestic Bill Discounting, Lending & Loan Raising
Handle accounting and reconciliation of domestic bill discounting and lending transactions with banks, financial institutions, and lending agents.
Coordinate with banks, financial institutions, and lending agents for raising loans/working capital facilities for the company.
Prepare and provide financial information, statements, MIS reports, and supporting documents required for loan and financing proposals.
Coordinate the complete loan process from application, documentation, sanction, disbursement, accounting, and repayment.
Maintain records of loan limits, sanctioned amounts, utilization, outstanding balances, interest, charges, and repayment schedules.
Process domestic customer invoices/bills submitted for discounting or financing.
Record funds/advances received against discounted domestic bills.
Account for discounting charges, interest, processing fees, bank charges, and other applicable finance costs.
Maintain bill-wise and customer-wise records of domestic bill discounting transactions.
Coordinate with lending agents/intermediaries for submission, processing, and settlement of financed bills.
Monitor outstanding discounted bills, loan balances, and repayment due dates.
Reconcile customer receivables with bank/lender statements and bill discounting records.
Follow up with banks, lenders, agents, and internal teams for timely disbursement, repayment, and closure of financing facilities.
Ensure proper accounting of loan principal, interest, discounting charges, processing fees, and other finance-related expenses.
Prepare periodic reports on loans raised, loan utilization, bill discounting, outstanding finance, interest, and repayment status.
Maintain complete documentation and schedules for bank finance, loans, lending arrangements, and bill discounting.
Support month-end reconciliation and ensure timely closure of outstanding financing transactions.Domestic Bill Discounting & Agent Lending
5. Bank Reconciliation & Month-End Closing
Reconcile:
Bank accounts
Export receivables
Import-related accounts
Freight accounts
C&F accounts
Export bill discounting accounts
Verify and account for bank charges, interest, and other finance-related expenses.
Identify and clear unreconciled items on a timely basis.
Prepare month-end schedules for:
Import purchases
Goods in transit
Import-related expenses
Export receivables
Export bills discounted
Bank charges and interest
Pass necessary accrual and adjustment entries.
Support internal, statutory, and tax audits with required schedules and documentation.
6. Export Bill Discounting
Handle accounting and reconciliation of export bill discounting transactions with banks/financial institutions.
Process export bills submitted to banks for discounting against export invoices.
Record the amount received from the bank against discounted export bills.
Account for discounting charges, interest, bank charges, and other applicable charges.
Maintain bill-wise records of export bills discounted with banks.
Track discounted bills until final realization from the customer/bank.
Reconcile export receivables, bank statements, and bill discounting accounts.
Monitor outstanding discounted bills and follow up for timely realization and closure.
Ensure proper accounting and clearance of discounted export bills in the books.
Prepare periodic reports on export receivables, discounted bills, bank finance, and outstanding balances.
