About Tribal Brew DailyTribal Brew Daily is building India’s Daily Coffee Kitchen — a neighbourhood-focused coffee and food brand designed around the everyday lifestyle of ambitious India.
As we scale from 10 to 100, we are looking for a hands-on Project Manager – Projects & Facilities who can take complete ownership of projects from the initial planning stage through execution, setup, opening, and post-opening support.
Role OverviewThe Project Manager will be responsible for managing all projects end-to-end, ensuring that every project is completed within the approved timeline, budget, quality standards, and operational requirements.
The role will also oversee facility-related issues across all Tribal Brew Daily outlets, ensuring that maintenance, repairs, vendors, infrastructure, equipment, and facility concerns are addressed quickly and effectively.
This is a highly execution-oriented role requiring strong coordination, problem-solving, vendor management, site supervision, and ownership.
- Key Responsibilities1. End-to-End Project ManagementTake complete ownership of new outlet and other company projects from initiation to completion and handover.
- Understand project requirements, scope, timelines, budgets, and deliverables.
- Prepare project plans, execution schedules, task lists, and timelines.
- Coordinate with management, Operations, Kitchen, Procurement, Marketing, Finance, and external vendors.
- Ensure projects remain on schedule and identify potential delays proactively.
- Conduct regular site visits and monitor project progress.
- Ensure proper handover of completed projects to the Operations team.
- 2. New Outlet Setup & OpeningManage the complete setup process for new outlets.
- Coordinate civil work, electrical work, plumbing, carpentry, painting, interiors, signage, kitchen setup, equipment installation, furniture, and other infrastructure requirements.
- Coordinate with contractors, architects, fabricators, suppliers, technicians, and other vendors.
- Track all outlet setup requirements through checklists and timelines.
- Ensure the outlet is fully operational and opening-ready before handover.
- Coordinate snag identification and closure before project completion.
- Maintain proper project documentation, quotations, approvals, invoices, warranties, and handover records.
- 3. Budget & Cost ControlPrepare project cost estimates and track approved budgets.
- Obtain and compare vendor quotations.
- Coordinate with Procurement and Finance for purchase and payment processes.
- Monitor project expenses and prevent unnecessary cost overruns.
- Escalate any significant variation in project cost or scope to management before execution.
- 4. Facility Management – All OutletsTake ownership of facility-related issues across all Tribal Brew Daily outlets.
- Monitor and coordinate repairs related to:
- Electrical systems
- Plumbing
- Air conditioning
- Water supply
- Civil work
- Carpentry
- Furniture and fixtures
- Kitchen infrastructure
- Signage
- Lighting
- Internet/network-related infrastructure coordination
- Other outlet infrastructure requirements
- Establish a system for reporting, tracking, assigning, and closing facility complaints.
- Ensure urgent facility issues are attended to immediately to minimise business disruption.
- Conduct periodic outlet inspections to identify potential issues before they become major problems.
- Maintain a preventive maintenance schedule for critical infrastructure and equipment.
- 5. Vendor & Contractor ManagementIdentify and coordinate with reliable contractors, technicians, fabricators, and service vendors.
- Negotiate quotations and ensure competitive pricing.
- Monitor vendor work quality and timelines.
- Ensure vendors follow agreed specifications and safety standards.
- Maintain a vendor database and performance records.
- Ensure proper closure of work before processing final payments.
- 6. Quality, Safety & ComplianceEnsure all project work meets company quality standards.
- Monitor site safety during construction, installation, and maintenance activities.
- Ensure outlets are safe, functional, clean, and ready before opening.
- Identify infrastructure risks and immediately escalate critical safety concerns.
- Ensure proper documentation and handover of completed work.
- 7. Post-Opening SupportMonitor newly opened outlets during the initial period of operation.
- Coordinate resolution of infrastructure and facility issues after opening.
- Track recurring problems and identify permanent solutions rather than repeatedly arranging temporary repairs.
- Work closely with Operations to ensure minimal disruption to outlet operations.
- Key Deliverables / KPIs100% project completion within approved timelines
- Projects completed within approved budgets
- New outlets handed over fully operational and opening-ready

Ideal CandidateWe are looking for someone who is:
- Highly hands-on and execution-oriented
- Strong at planning and project coordination
- Comfortable travelling between multiple outlet locations
- Good at managing contractors and vendors
- Strong in negotiation and cost control
- Excellent at troubleshooting and problem-solving
- Able to handle multiple projects simultaneously
- Comfortable working in a fast-paced and growing F&B/QSR environment
- Proactive rather than waiting for problems to escalate
- Strong in communication and follow-ups
- Willing to take complete ownership from “project start” to “project handover.”
- Qualification & ExperienceBachelor's degree/Diploma in Civil Engineering, Construction Management, Project Management, Facilities Management, Architecture, or a related field preferred.
- 4–7 years of relevant experience in project management, facility management, construction, retail, QSR, F&B, hospitality, or similar industries.
- Experience in new outlet/store setup and fit-outs will be strongly preferred.
- Experience managing multiple sites/outlets is an advantage.
- Working knowledge of project planning, BOQ, vendor management, costing, and site execution.
- Proficiency in Excel/Google Sheets and project tracking tools.
