Sales Co-ordinator

Job Summary

The Sales Coordinator is responsible for supporting the sales team by coordinating customer inquiries, processing orders, preparing quotations, maintaining sales records, and ensuring timely communication between customers, production, dispatch, and accounts. The role is critical in ensuring smooth order execution and delivering excellent customer service.

Key Responsibilities

Sales Coordination

• Prepare and send quotations, proforma invoices, and sales orders.
• Co-ordinate email correspondence.
• Process customer orders accurately in the ERP system.
• Coordinate with the sales team for order confirmation and follow-up.
• Maintain customer databases and update records regularly.

Customer Support

• Respond promptly to customer inquiries regarding products, pricing, order status, and deliveries.
• Handle customer complaints and coordinate with internal departments for timely resolution.
• Build and maintain strong customer relationships through professional communication.

Order & Dispatch Coordination

• Coordinate with Production, Planning, Stores, and Dispatch teams to ensure timely execution of orders.
• Track order progress and keep customers informed about delivery schedules.
• Ensure all required documents are prepared before dispatch.

Documentation & Reporting

·      Maintain sales records, customer files, and order documentation.

·      Prepare daily, weekly, and monthly sales reports.

·      Generate MIS reports for management review.

·      Maintain records of pending orders, dispatch status, and outstanding customer requirements.
