Counting a pharmacy's stock, entering it into Pia, and getting all of the shop's data right before its first day.

ABOUT PIA

Pia is pharmacy software that runs on a phone. It does billing, stock and expiry, purchases, reorders and the day's accounts. A supplier's bill is entered from a photo, stock is tracked by batch and expiry date, and GST reports and the drug register are kept ready. The owner decides what each staff member can see and do.

HOW THE JOB WORKS

You bring a pharmacy into Pia before its first day. You count its stock batch by batch, enter it into Pia, and add everything else the shop needs from the first day: product details, suppliers and opening balances.

You work in a team of two or three, at the shop. Where the shop keeps its stock on paper, you count and enter everything. Where it already uses billing software, you bring that data across and check it against the shelves.

The job is done right when Pia matches the shop's shelves and books on its first day.

WHAT YOU WILL DO

Counting the stock

- Count every medicine in the shop, batch by batch: on the shelves, in the fridge, in the locked cabinet and in the godown.

- For each batch, record the name, the batch number, the manufacturing and expiry dates, the MRP and the quantity, in strips, bottles, tubes or loose.

- Note where each medicine is kept: its rack, shelf, fridge or cabinet.

- Count fast-moving medicines and scheduled drugs twice.

- Keep expired and damaged stock apart from stock that can be sold, and record it separately.

- Keep the count right while the shop stays open: note what is sold and what arrives while you count, and adjust for it before the shop starts on Pia.

Entering the data

- Enter every batch into Pia. Scan the pack with Pia's camera or find the medicine by name, and add it if it is not there yet.

- Check each product's details with the owner: GST rate, HSN code, pack size, and whether it sells by the strip, tablet or box.

- Enter the rate the shop buys each medicine at, from its purchase bills.

- Enter the shop's suppliers from their bills: name, GSTIN, drug licence number and phone number.

- Enter the starting figures: cash in hand, money owed to suppliers and money owed by customers.

- Where the shop already uses billing software, bring its stock, batch and price data into Pia, then check it against the shelves, rack by rack.

Checking before the first day

- Check every line against the count before you save it. When a line is unclear, go back to the shelf. Never guess.

- Check the stock in Pia against the shelves before the shop starts using Pia, and correct every difference.

- Go through the finished stock and starting figures with the owner, and get the owner's OK before the shop starts.

- Note how long each step takes, so the team can shorten the slow ones.

- Report anything in Pia that stops you entering data correctly to our QA and testing engineer, with the screen, the steps and what went wrong.

HOW YOUR WORK IS MEASURED

What matters most is whether Pia matched the shop's shelves and books on its first day.

We also look at:

- whether the shop's old data came across fully, with few failed rows

- shops whose data was right the first time, without an unplanned second visit

- how many lines had to be corrected after the shop started on Pia

- the time from starting a shop to its data being ready

We do not count lines entered per day, because that rewards speed over correctness.

WHAT WE ARE LOOKING FOR

- Fluent Hindi & English.

- Can read the medicine names, batch numbers, dates and prices printed on strips, bottles and boxes.

- Careful with numbers. Checks before saving, and counts again when something looks wrong.

- Fast and accurate typing, on a phone and on a computer.

- Good with spreadsheets. Able to read a stock list and find the rows that are wrong.

- Comfortable on a Windows computer, enough to move a shop's data into Pia.

- Patient and polite, working in a busy shop while it serves customers.

- Own two-wheeler and a valid driving licence.

- Can be trusted with a shop's private business information.

GOOD TO HAVE

- Pharmacy experience, such as a D.Pharm or B.Pharm, or work at a pharmacy counter.

- Experience counting stock in a pharmacy, shop or warehouse.

- Experience as a data entry operator, or with billing, POS, accounting or ERP software.
