ABOUT THE COMPANY

Northern Extracts is a manufacturer of oleoresins, essential oils, and herbal extracts, specializing in North Indian herbs and spices. We serve the seasonings, flavors, fragrance, and nutraceutical industries across domestic and international markets.

Our Corporate Office is in Jaipur, with a manufacturing facility in Roopangarh, near Ajmer. The company is committed to quality, food safety, and regulatory compliance, with applications for FSSC 22000, ISO, Kosher, Halal, and FSSAI certifications.


ROLE OVERVIEW

The Senior Store & Dispatch Executive will be responsible for end-to-end finished-goods store, inventory and dispatch operations at the manufacturing facility.

The role requires ownership of dispatch planning, inventory accuracy, documentation, transporter coordination, ERP transactions, batch traceability and timely resolution of operational issues.


KEY RESPONSIBILITIES


1. Dispatch Planning & Execution

a. Plan and execute daily dispatches based on approved sales orders, customer priorities and delivery commitments.

b. Prepare dispatch schedules considering finished-goods availability, vehicle availability and dispatch priorities.

c. Coordinate loading sequence and ensure timely vehicle placement and dispatch.

d. Monitor dispatch status and ensure vehicles are released within planned timelines.


2. Finished-Goods Verification

a. Ensure product, quantity, batch/lot, packaging, labels, destination and vehicle details are verified before dispatch.

b. Ensure physical stock matches approved orders and system records.

c. Ensure only approved/released finished goods are dispatched.

d. Investigate and resolve quantity or stock discrepancies.


3. Transporter & Vehicle Coordination

a. Coordinate with transporters and drivers for vehicle placement, loading and dispatch.

b. Negotiate/coordinate operational requirements with transporters as applicable.

c. Track vehicle movement and delivery status.

d. Follow up on delays, shortages, damages, delivery failures and other transportation issues.

e. Maintain transporter performance and dispatch-related records.


4. Dispatch Documentation

a. Prepare, verify and maintain LR/GR, challans, invoices and other applicable dispatch documents.

b. Ensure accuracy of customer, product, quantity, batch/lot, vehicle and transporter details.

c. Ensure all required documents are complete before vehicle release.

d. Maintain proper documentation for audit and traceability purposes.


5. Inventory Control & Reconciliation

a. Monitor finished-goods inventory and ensure accuracy between physical stock and ERP/system records.

b. Conduct regular physical stock verification and reconciliation.

c. Monitor receipts, issues, transfers, returns and dispatches.

d. Investigate inventory variances and coordinate corrective action.

e. Ensure effective FIFO/FEFO and batch-wise inventory control.


6. Warehouse Management

a. Ensure finished goods are properly identified, stored and located.

b. Maintain segregation of approved, hold, rejected, returned and dispatch-ready stock.

c. Ensure efficient utilization and organization of warehouse space.

d. Monitor housekeeping, safety and proper material handling practices.


7. Quality, Compliance & Traceability

a. Coordinate with QA/QC to ensure product release before dispatch.

b. Maintain batch/lot traceability throughout the dispatch process.

c. Ensure compliance with food-grade handling, storage, labeling, hygiene and safety requirements.

d. Immediately escalate quality deviations, damages, shortages or documentation discrepancies.


8. ERP & MIS

a. Ensure accurate and timely ERP/system entries for receipts, stock movements, issues and dispatches.

b. Maintain sales-order references, dispatch records, invoices, LR/GR, challans and transporter records.

c. Prepare basic dispatch and inventory reports/MIS as required.

d. Ensure records are maintained for audit and traceability purposes.


9. Cross-Functional Coordination

Coordinate closely with:

a. Sales: Customer orders, priorities and delivery commitments.

b. Production/Planning: Finished-goods availability and dispatch readiness.

c. QA/QC: Product release and batch traceability. Page | 2

d. Finance/Accounts: Invoices and dispatch documentation.

e. Stores/Warehouse: Stock control and loading.

f. Transporters: Vehicle placement and delivery tracking.

g. Customers/Distributors: Delivery coordination and issue resolution, wherever required.


10. Issue Resolution & Ownership

a. Take ownership of dispatch-related operational issues.

b. Investigate shortages, damages, returns, delivery failures and documentation errors.

c. Coordinate with relevant departments for timely corrective action.

d. Escalate critical issues to management with proper information and status updates.

Qualifications & Experience

1. Graduate/Diploma or equivalent qualification in Logistics, Supply Chain, Commerce, Operations or a related field.

2. 4–5+ years of relevant experience in Stores, Warehouse, Dispatch, Logistics, Inventory or Manufacturing Operations.

3. Experience in a manufacturing environment will be preferred.

4. Strong working knowledge of ERP/inventory management systems.

5. Good understanding of dispatch documentation, inventory control and warehouse processes.
