Job Description
The Head of IT will be responsible for planning, implementing and managing the company's complete IT infrastructure.
The role will cover **employee IT systems, hardware, software, networking, cybersecurity, cloud systems, IT policies, data security, technical support, vendor management and technology implementation across offices and outlets.**
The ideal candidate should be capable of building systems and processes rather than simply solving day-to-day technical issues.
Key Responsibilities
1. Employee IT Infrastructure
* Set up laptops, desktops and other IT equipment for employees.
* Manage employee email IDs, user accounts and system access.
* Create standardized IT setup processes for new employees.
* Manage employee onboarding and IT access provisioning.
* Ensure timely removal of system access during employee exits.
* Maintain an updated record of all company-owned IT assets.
* Establish policies for company laptops, devices, passwords and data usage.
* Ensure employees have the hardware and software required to perform their jobs efficiently.
2. IT Infrastructure & Networking
* Manage the company's office IT infrastructure.
* Set up and maintain LAN, Wi-Fi, routers, firewalls and related networking equipment.
* Ensure reliable internet connectivity across offices and locations.
* Plan IT infrastructure for new offices and outlets.
* Standardize network and technology setups across Son of Swaad locations.
* Monitor system performance and identify potential failures before they affect operations.
3. Hardware & Asset Management
* Maintain a centralized IT asset register.
* Track laptops, desktops, printers, networking equipment and other IT assets.
* Manage hardware procurement, allocation, maintenance and replacement.
* Establish hardware standards for different employee roles.
* Negotiate with hardware suppliers and service providers.
* Monitor warranty and AMC agreements.
* Control IT-related expenditure and prevent unnecessary purchases.
4. Software & Application Management
* Manage company-wide software and technology platforms.
* Maintain user licenses and subscriptions.
* Control software access based on employee roles.
* Ensure employees use approved and secure software.
* Evaluate new technology solutions based on business requirements.
* Coordinate implementation of new software and systems.
* Identify opportunities to automate repetitive business processes.
5. POS & Outlet Technology
* Oversee technology systems used across Son of Swaad outlets.
* Coordinate POS, billing, inventory and other restaurant technology systems.
* Ensure proper IT setup for new outlets.
* Coordinate with POS/software vendors for installation, troubleshooting and upgrades.
* Establish standardized IT infrastructure requirements for company-owned and franchise outlets.
* Ensure critical outlet systems have appropriate backup and contingency arrangements.
6. Cybersecurity & Data Protection
* Develop and implement the company's IT security policies.
* Protect company systems, accounts and data from unauthorized access.
* Implement appropriate antivirus/endpoint security solutions.
* Ensure two-factor authentication and strong access-control practices.
* Manage employee access permissions.
* Conduct regular security checks and vulnerability assessments.
* Educate employees about phishing, password security and other cyber threats.
* Establish appropriate data backup and recovery systems.
* Develop an IT incident response process.
7. Cloud & Data Management
* Manage cloud-based systems and company data.
* Maintain appropriate access permissions for shared drives and cloud platforms.
* Establish structured file and folder management systems.
* Implement automated backups for critical business data.
* Ensure important company information is not dependent on individual employee accounts.
* Develop data recovery procedures for critical systems.
8. IT Helpdesk & Employee Support
* Establish a structured IT support process for employees.
* Create a ticketing/helpdesk system for IT issues.
* Define response and resolution timelines for different types of issues.
* Monitor recurring technical problems and implement permanent solutions.
* Ensure employees receive timely technical support.
* Build or manage an internal IT support team as the organization grows.
9. Vendor Management
* Identify and evaluate IT vendors and service providers.
* Manage relationships with internet, hardware, software, POS, CCTV, cloud and other technology vendors.
* Negotiate pricing, contracts and service-level agreements.
* Monitor vendor performance.
* Ensure vendors meet agreed timelines and service standards.
* Maintain proper documentation of contracts, licenses and AMC agreements.
10. IT Policies & SOPs
Develop and maintain IT policies and SOPs covering:
* Employee device usage
* Password management
* Email and communication systems
* Software installation
* Internet usage
* Data security
* Access control
* Device allocation
* IT asset management
* Employee onboarding/offboarding
* Backup and recovery
* Cybersecurity
* IT incident reporting
11. Technology Planning & Automation
* Understand business requirements and recommend suitable technology solutions.
* Identify opportunities to automate manual processes.
* Work with management and different departments to improve technology adoption.
* Evaluate emerging technologies that can improve operational efficiency.
* Prepare annual IT budgets and technology roadmaps.
* Plan IT infrastructure according to the company's expansion plans.
Key Deliverables
Within the first few months, the IT Head is expected to establish:
* Complete IT asset inventory
* Employee device allocation system
* Standardized employee IT onboarding/offboarding process
* Centralized email and user-access management
* Software/license inventory
* IT support/helpdesk process
* Cybersecurity framework
* Backup and disaster-recovery process
* IT policies and SOPs
* Standardized outlet IT setup
* Vendor database and AMC tracker
* IT budget and procurement process

Required Skills & Experience
Must Have
* 3-5+ years of relevant IT experience.
* Strong experience in IT infrastructure and administration.
* Experience managing Windows/macOS environments.
* Strong understanding of networking and troubleshooting.
* Experience with cloud platforms and business applications.
* Knowledge of cybersecurity and data protection.
* Experience with hardware procurement and asset management.
* Strong vendor-management skills.
* Experience managing IT operations for multiple locations is highly preferred.
* Strong documentation and SOP-development skills.
* Ability to independently build IT systems and processes.

# Education
**Preferred:**
* Bachelor's degree in Information Technology, Computer Science, Information Systems or a related field.
Relevant professional certifications in areas such as **networking, cybersecurity, cloud or IT service management** will be an advantage.
