Job Description

Role Overview

We are looking for a dependable, hands-on Accounts & Operations Manager to take ownership of the company’s end-to-end accounting, financial reporting, statutory compliance coordination, banking, cash flow, and day-to-day commercial operations.

The person should be capable of independently maintaining accurate books, managing receivables and payables, closing accounts, coordinating with external consultants, and ensuring smooth coordination between sales, procurement, administration, and operational teams.

This role requires someone who can personally execute work, supervise supporting staff, identify gaps, and establish practical systems suitable for a growing MSME.

Key Responsibilities

1. End-to-End Accounting & Bookkeeping

  • Take complete responsibility for maintaining accurate and up-to-date books of accounts in Tally Prime or the company’s ERP.
  • Record and review sales, purchases, receipts, payments, journal entries, debit notes, credit notes, and expense bookings.
  • Ensure proper ledger classification, cost-centre allocation, and supporting documentation for transactions.
  • Maintain customer, vendor, employee advance, loan, deposit, and other subsidiary records.
  • Perform regular bank, cash, customer, vendor, and intercompany reconciliations, wherever applicable.
  • Maintain fixed asset records and account for additions, disposals, depreciation, and supporting documents.
  • Review provisions, accruals, prepaid expenses, outstanding liabilities, and advances.
  • Maintain proper accounting records for directors’ and related-party transactions, with appropriate review and approvals.

2. Monthly Closing & Financial Reporting

  • Establish and follow a monthly accounting closure calendar.
  • Prepare monthly Profit & Loss statements, Balance Sheets, and cash-flow reports.
  • Review ledger balances and resolve unreconciled entries, incorrect postings, and long-outstanding items.
  • Prepare management reports covering:

  • Revenue, expenses, and profitability.
  • Receivables and payables ageing.
  • Cash and bank position.
  • Upcoming payment commitments.
  • Budget versus actual performance.
  • Working capital and inventory, where applicable.
  • Explain significant variances and highlight financial issues requiring management action.
  • Coordinate year-end finalisation and prepare schedules and supporting workings for auditors.

3. Receivables, Billing & Collections

  • Ensure timely and accurate customer invoicing based on approved orders, contracts, delivery records, or service milestones.
  • Verify commercial terms, applicable taxes, credit periods, and supporting documentation before billing.
  • Maintain customer-wise outstanding statements and collection follow-up records.
  • Coordinate with sales and operations teams to resolve billing disputes, short payments, deductions, and overdue balances.
  • Obtain balance confirmations and reconcile customer accounts periodically.
  • Monitor customer advances, credit limits, and overdue exposures; escalate collection risks promptly.
  • Ensure collections are correctly allocated against open invoices.

4. Payables, Procurement & Expense Control

  • Verify supplier invoices against purchase orders, receipt confirmations, or service completion records, wherever applicable.
  • Check rates, quantities, payment terms, tax treatment, approvals, and supporting documents before processing.
  • Prepare payment proposals based on due dates, business priorities, and available cash.
  • Reconcile supplier accounts and resolve differences, duplicate invoices, and unadjusted advances.
  • Monitor employee reimbursements, petty cash, and administrative expenses.
  • Review purchase requests and commercial terms for budget availability and appropriate approvals.
  • Track supplier classification and agreed payment terms, including MSME-related records and payment monitoring.
  • Identify unnecessary expenses, avoidable charges, and opportunities for cost savings.

5. Banking, Treasury & Working Capital

  • Manage routine banking activities, bank documentation, and account reconciliations.
  • Prepare weekly cash-flow forecasts and maintain visibility over near-term funding requirements.
  • Track loan repayments, interest, bank charges, deposits, and credit facilities.
  • Coordinate with banks for routine service requests and documentation.
  • Prepare banking statements and financial information required for credit facilities, where applicable.
  • Highlight anticipated cash shortfalls and recommend collection or payment actions.
  • Prepare payment files and transactions in line with the company’s approval and bank-authorisation matrix.

6. Statutory Compliance & Audit Coordination

  • Maintain a compliance calendar and coordinate timely preparation, review, payment, and filing of applicable statutory obligations.
  • Prepare and reconcile data for GST, TDS, payroll-related compliances, and other applicable requirements.
  • Coordinate with the external CA, tax consultant, payroll consultant, and Company Secretary.
  • Ensure consistency between books, statutory workings, and filed returns.
  • Maintain organised records of challans, returns, reconciliations, certificates, and acknowledgements.
  • Support statutory audits, tax audits, internal reviews, and assessments with complete schedules and documents.
  • Track audit observations, compliance queries, and notices; escalate them promptly and coordinate closure.
  • Provide financial records and supporting information for company-law filings and related requirements.

7. Payroll & Employee Accounting

  • Coordinate attendance, leave, salary changes, incentives, and deductions with HR or administration.
  • Prepare or review monthly payroll and salary payment workings.
  • Maintain employee advance, reimbursement, and recovery records.
  • Coordinate full-and-final settlements and payroll-related reconciliations.
  • Maintain confidentiality of employee compensation and personal information.

8. Day-to-Day Business & Commercial Operations

  • Coordinate the flow of documents and information between sales, procurement, stores, dispatch, service delivery, and accounts, as relevant to the business.
  • Track open customer orders, purchase orders, pending deliveries, unbilled supplies or services, and incomplete documentation.
  • Ensure commercial commitments, billing milestones, and payment terms are properly recorded and followed up.
  • Maintain central records of key contracts, agreements, renewals, insurance policies, and recurring commitments.
  • Coordinate routine office administration and service vendors, where assigned.
  • Maintain an action tracker for unresolved operational issues and escalate delays affecting revenue, collections, or service delivery.
  • Support management in implementing practical procedures for smooth daily operations.

9. Inventory & Stock Accounting — Where Applicable

  • Maintain accurate stock accounting and reconcile inventory records with accounts.
  • Coordinate periodic physical stock verification and investigate differences.
  • Monitor stock movements, returns, damaged goods, and slow-moving inventory.
  • Review inventory valuation and related adjustments with the appropriate teams.
  • Ensure stock receipts and dispatches have complete supporting records.

10. Internal Controls, Systems & Team Management

  • Establish clear processes for transaction approvals, documentation, accounting entries, and reconciliations.
  • Maintain appropriate separation between payment preparation, approval, and release.
  • Identify process gaps, duplicate work, revenue leakage, and control weaknesses.
  • Improve the use of Tally, Excel, ERP reports, and suitable automation tools.
  • Maintain orderly digital records, controlled access, and regular data backups.
  • Allocate work to junior accounts or administrative staff and review completion and accuracy.
  • Train team members and maintain sufficient process documentation for continuity.
  • Provide management with concise updates on pending work, exceptions, risks, and required decisions.

Qualifications & Experience

  • B.Com / M.Com; CA Inter / CMA Inter or equivalent qualifications preferred.
  • Relevant experience in an Indian private limited company, preferably an MSME.
  • Demonstrated ability to independently manage books up to finalisation and coordinate audits.
  • Practical experience in GST and TDS workings, reconciliations, payroll coordination, and banking.
  • Prior responsibility for receivables, payables, cash-flow planning, and MIS reporting.
  • Experience coordinating commercial or administrative operations alongside accounting.
  • Strong working knowledge of Tally Prime and Microsoft Excel, including PivotTables, lookups, SUMIFS, and reconciliation tools.
  • Experience with ERP implementation or process improvement will be an advantage.
