Tender Executive (GeM)

Job Summary:

We are looking for a GeM Tender Executive who will be responsible for managing the complete tendering process on the Government e-Marketplace (GeM), from tender identification and bid preparation to submission, order processing, and post-order coordination.

Key Responsibilities:

• Regularly monitor GeM portal for relevant tenders and bids.
• Identify suitable tenders according to the company's medical and healthcare product portfolio.
• Analyze tender requirements, eligibility criteria, specifications, EMD, turnover, certifications, and other conditions.
• Prepare and submit GeM bids and tenders within the specified deadlines.
• Coordinate with the sales, accounts, purchase, and management teams for tender documentation.
• Prepare commercial quotations, BOQs, compliance sheets, and other required documents.
• Ensure all technical and commercial documents are accurate and submitted on time.
• Maintain records of submitted bids, results, orders, and tender-related documents.
• Track tender status, bid results, purchase orders, and payment/settlement status.
• Handle GeM Reverse Auctions (RA) and coordinate pricing strategies with management.
• Coordinate with customers/Government departments regarding queries, clarifications, and order-related requirements.
• Manage post-order activities including dispatch, delivery, invoices, and documentation.
• Keep updated with changes in GeM policies, bidding procedures, and government procurement rules.

Required Skills:

• Hands-on experience with GeM portal and government tenders.
• Good knowledge of GeM bidding, Reverse Auction, L1 process, and order management.
• Strong knowledge of MS Excel and MS Office.
• Good documentation and analytical skills.
• Strong communication and negotiation skills.
• Ability to work under deadlines.
• Attention to detail and accuracy in tender documentation.
• Experience in medical devices / healthcare products / hospital supplies will be preferred.
• QualificationGraduate in any discipline.
• Experience in GeM/Tender handling preferred.

Experience:

• 1–3 years preferred.
• Key Performance Indicators (KPIs)Number of relevant tenders identified.
• Number of bids successfully submitted.

• Accuracy and timely submission of documents.
