Job Description

Role Summary

The HRA Trainee – Administration will support daily HR and administrative operations within the factory/plant environment. The role includes HR documentation, attendance management, contract manpower coordination, housekeeping and security support, employee assistance, and visitor/customer arrangements while ensuring compliance with company policies and safety standards.

 

Key Responsibilities

 

HR & Administration

  • Maintain employee records and HR documentation.
  • Support onboarding and joining formalities for employees and contract manpower.
  • Assist employees with attendance, documentation, and administrative queries.
  • Maintain confidentiality of employee records and HR data.

Documentation

  • Prepare and maintain HR and administrative documents.
  • Update manpower reports, attendance records, and compliance data.
  • Maintain vendor, contractor, housekeeping, and related documentation.

Contract Manpower Management

  • Coordinate with contractors for manpower requirements.
  • Maintain daily attendance and manpower data for contract workers.
  • Verify contractor records and assist in billing coordination.
  • Ensure contractor compliance with company policies and safety regulations.

Attendance Management

  • Monitor daily attendance of employees and contract manpower.
  • Maintain attendance records through ERP, biometric, or Excel systems.
  • Coordinate with departments for attendance corrections and discrepancies.

Housekeeping & Security Coordination

  • Monitor housekeeping activities to ensure workplace cleanliness.
  • Coordinate with security personnel for gate management and visitor handling.
  • Support implementation of factory security procedures.

Factory Safety Support

  • Assist in maintaining factory safety practices and compliance standards.
  • Coordinate with EHS/Safety teams during audits and inspections.
  • Ensure adherence to safety guidelines by contract workers and visitors.

Guest & Customer Arrangements

  • Arrange visitor passes, meeting rooms, refreshments, and customer coordination.
  • Support hospitality and administrative arrangements during customer visits.



Required Skills

  • Good communication and coordination skills.
  • Basic understanding of HR and administrative processes.
  • Knowledge of MS Excel, Word, and attendance management systems.
  • Strong documentation and record-keeping abilities.
  • Ability to manage multiple administrative tasks efficiently.



Qualification

  • MBA -HR/Operation/ BBA
  • HR specialization preferred.



Experience

  • Fresher or 0–1 year of experience in HR/Admin.
