Job Description
Position Summary
The Procurement & Supply Chain Manager is responsible for three linked functions at the Modular Operation Theatre manufacturing plant: Procurement (sourcing and purchasing raw materials/components), Inventory Management (store operations and stock control), and Dispatch (outward logistics and delivery coordination). The role reports directly to the Plant Manager and leads a small team a Store Keeper-cum-Dispatch Executive and Helper ensuring the plant always has the right material at the right time, and that finished goods reach customers/sites accurately and on schedule.
Key Responsibilities
Procurement
• Source, negotiate and place purchase orders for raw materials, components and consumables (GI/PUF/aluminium sheets, glass, LAF/HEPA components, electricals, hardware) as per production plan.
• Develop and maintain an approved vendor base; evaluate vendors on price, quality and delivery reliability.
• Immediately return defective products and ensure replacement is given by vendor at the earliest.
• Negotiate rate contracts/annual agreements for high-volume items to control cost.
• Track order status and follow up with vendors to prevent delivery delays.
Inventory Management
• Maintain optimum stock levels (min-max) for all raw materials, components and packing consumables.
• Ensure proper GRN, inward quality check coordination with QA/QC, and accurate stock entry in ERP/inventory system.
• Organize store layout, labelling and material identification (FIFO/FEFO) for traceability.
• Conduct periodic physical stock verification and reconcile with system records.
Dispatch & Logistics
• Ensure packaging of material is in a way that doesn’t damage products sent.
• Plan and coordinate outward dispatch of finished panels/systems as per production and delivery schedules.
• Ensure correct packing, labelling and documentation (invoice, e-way bill, packing list) for every dispatch.
• Coordinate transport/vehicle arrangement and track shipments till site delivery and customer receipts.
• Ensure safe and damage-free loading/unloading practices; investigate and report any transit damage.
Team Supervision
• Supervise the Store Keeper-cum-Dispatch Executive and Helper; allocate daily tasks.
• Train the team on material handling, safe loading/unloading practices, and documentation discipline.
• Maintain attendance and discipline of the reporting team.
Coordination & Compliance
• Align material indent and dispatch schedules with the Plant Manager's overall production and Installation Head’s delivery plan.
• Coordinate with the Designer for BOM-based material planning on new projects/orders.
• Maintain purchase, store and dispatch documentation for audits (ISO 9001, customer and internal audits); ensure GST/e-way bill compliance on outward shipments.
Key Result Areas (KRA)
1. Material Availability
• Zero production stoppage due to material unavailability.
• Maintain fill rate of ≥98% against production material indents.
2. Inventory Control
• Maintain inventory within approved min-max levels; control slow-moving/obsolete stock.
• Achieve ≥98% accuracy in physical vs. system stock during audits.
3. Dispatch & Delivery
• Achieve 100% on-time dispatch against confirmed delivery schedules.
• Zero dispatch errors (wrong item/quantity) and zero missing/incorrect documentation.
• Keep transit damage incidents at or below target.
4. Procurement Cost & Vendor Performance
• Achieve targeted annual cost savings through negotiation/rate contracts.
• Maintain vendor on-time delivery performance above agreed benchmark.
5. Team & Safety
• Zero safety incidents during loading/unloading operations.
• Maintain store and dispatch area 5S/housekeeping audit score at target level.
Key Performance Indicators (KPIs)
• Material fill rate / stockout incidents
• Inventory accuracy % (physical vs. system)
• On-time dispatch %
• Dispatch accuracy (right item/quantity/documentation)
• Procurement cost savings % and vendor on-time delivery %
• Transit damage / loading-unloading safety incidents
Candidate Requirements
Education
• Graduate/Diploma in Mechanical, Industrial Engineering, Supply Chain, or Materials Management. MBA/PGDM in Operations or Supply Chain is an advantage.
Experience
• 3–5 years in procurement, store and/or dispatch/logistics roles within a manufacturing environment, including at least 2 years in a supervisory capacity.
• Experience sourcing sheet metal, glass/glazing, HVAC, electrical or panel-building raw materials, and coordinating outward logistics for oversized/fragile goods, is strongly preferred.
• Exposure to modular OT, cleanroom or healthcare-infrastructure manufacturing is a strong plus.
Knowledge & Skills
• Strong working knowledge of inventory management principles (min-max, FIFO/FEFO, ABC analysis).
• Hands-on experience with ERP/inventory software for purchase orders, GRN and stock tracking.
• Working knowledge of dispatch documentation invoicing, e-way bills, packing lists and transport coordination.
• Ability to read BOMs and technical specifications to procure the correct material/grade.
• Good negotiation and vendor management skills.
Behavioral Attributes
• Strong planning and organizational skills; ability to anticipate material needs and dispatch schedules ahead of time.
• Clear coordination and communication with the Plant Manager, production and site/installation teams.
• High attention to detail and documentation discipline, particularly for outward dispatch compliance.
• Hands-on supervisory style comfortable directing store keeper and helper staff on the floor.
• Ethical and transparent in vendor dealings.
