Job Description
Docemy, in collaboration with TMCAA, runs structured, exam-oriented preparation programmes for NEET PG and INICET aspirants. The centre provides students with a focused, distraction-free environment, structured daily preparation, classes, tests, study resources, mentorship and continuous academic support.
We are looking for a Center Manager who can take complete ownership of the day-to-day functioning of the centre and ensure a high-quality experience for students, faculty and residents.
Key Responsibilities
1. Centre Operations
- Manage the daily operations of the TMCAA study centre.
- Ensure the centre is clean, organised, functional and student-friendly.
- Coordinate classrooms, reading rooms, study areas and other facilities.
- Ensure adherence to centre timings, rules and discipline.
- Coordinate with vendors, housekeeping, security and other service providers.
- Identify operational issues proactively and resolve them quickly.
2. Student Management & Experience
- Act as the primary point of contact for students at the centre.
- Ensure students follow the prescribed daily study schedule and centre guidelines.
- Track attendance, participation and overall student engagement.
- Understand student concerns and ensure timely resolution.
- Maintain a positive, disciplined and academically focused environment.
- Escalate academic, behavioural or personal concerns to the appropriate mentor/team member.
3. Faculty Communication & Coordination
- Serve as the primary on-ground point of contact between the centre and faculty members.
- Maintain regular and professional communication with faculty regarding class schedules, timings, requirements and changes.
- Coordinate faculty schedules and ensure timely arrival and smooth conduct of classes.
- Communicate academic plans, session requirements and operational updates to faculty.
- Ensure classrooms, teaching equipment, study materials and other requirements are ready before sessions.
- Coordinate with faculty regarding tests, discussions, PYQ sessions, revision sessions and other academic activities.
- Collect and communicate relevant faculty feedback to the academic and management teams.
- Proactively resolve logistical or operational issues affecting faculty and classes.
4. Academic Programme Coordination
- Coordinate the smooth execution of daily classes, tests, discussions and other academic activities.
- Ensure faculty and mentors have the required arrangements and resources.
- Coordinate daily tests, post-tests, PYQ sessions and other scheduled activities.
- Ensure students receive required study materials and academic updates on time.
- Coordinate with the academic and central operations teams to avoid disruptions.
5. Accommodation & Hostel Management
- Oversee the day-to-day management of student accommodation/hostel facilities.
- Manage room allocation, check-in and check-out processes.
- Maintain accurate records of residents and room occupancy.
- Coordinate housekeeping, maintenance, security, food/catering and other hostel-related services where applicable.
- Ensure cleanliness, hygiene, safety and basic living standards are maintained.
- Address student accommodation-related concerns promptly.
- Monitor adherence to hostel rules and ensure a safe and disciplined residential environment.
- Coordinate repairs, maintenance and facility-related requirements with vendors and management.
- Conduct regular inspections of hostel facilities and identify issues proactively.
- Maintain records of incidents, maintenance requirements and complaints.
- Coordinate emergency responses when required and escalate serious issues to management.
6. Student Performance & Accountability
- Monitor student participation and adherence to the programme schedule.
- Maintain basic student performance and attendance records.
- Identify students who are falling behind or disengaging from the programme.
- Work with mentors to initiate appropriate interventions.
- Encourage students to maintain consistency throughout the programme.
7. Communication
- Manage day-to-day communication with students through WhatsApp and other designated channels.
- Communicate schedule changes, announcements and operational updates clearly.
- Maintain professional communication with students, faculty, mentors, parents and the management team.
- Ensure important information reaches the relevant stakeholders accurately and on time.
8. Events & Centre Activities
- Coordinate orientation programmes, guest sessions, simulations, examinations, student events and other centre activities.
- Ensure all logistical arrangements are completed before each event.
- Support student felicitation programmes and other TMCAA initiatives.
9. Reporting & Administration
- Maintain daily/weekly operational reports.
- Track attendance, centre utilisation, hostel occupancy, incidents and student concerns.
- Share regular updates with the management team.
- Maintain records related to students, faculty, accommodation, facilities and centre operations.
- Ensure compliance with Docemy and TMCAA policies and operational standards.
- What We Are Looking ForGraduate in any discipline; healthcare/education background is an advantage.
- 2–5 years of experience in centre management, education operations, hospitality, hostel management, student management, healthcare administration or a similar role.
- Strong organisational, communication and people-management skills.
- Excellent communication skills in English and Malayalam.
- Comfortable using WhatsApp, Google Workspace, spreadsheets and basic digital tools.
- Ability to communicate and coordinate effectively with students, faculty, parents, vendors and service providers.
- Strong ownership and problem-solving ability.
- Ability to work independently and take decisions within defined guidelines.
- High attention to detail, discipline and maturity.
- Experience managing residential/student accommodation facilities is an advantage.
Ideal CandidateThe ideal candidate is someone who can run the centre as if it were their own.
You should be comfortable managing multiple moving parts simultaneously—students, faculty, schedules, tests, accommodation, facilities, communication and unexpected problems—without compromising the student or faculty experience.
Experience in a NEET/medical education environment, residential education facility, hostel or student accommodation will be an advantage.
