OLTAO is a premium designer fan brand looking for a hands-on Accounts Manager to handle daily sales entries, prepare quotations, proforma invoices and tax invoices, track customer payments, and provide accurate sales and outstanding reports to management. You’ll work closely with the sales, e-commerce, and warehouse teams to keep billing and collections on track.

Key responsibilities

Sales entries and invoicing

• Record daily sales from Amazon, the OLTAO website, other marketplaces, and direct orders from dealers and corporate customers.
• Prepare quotations, proforma invoices, tax invoices, credit notes, and debit notes. Coordinate e-invoices and e-way bills where applicable.
• Verify approved prices, discounts, quantities, GST details, freight charges, and billing and shipping addresses before issuing invoices.
• Match invoices with purchase orders, dispatch records, and payments. Record returns, refunds, and order adjustments against the original sale.

Payments and reconciliation

• Track customer advances, part payments, and outstanding balances. Follow up with the sales team and customers on overdue invoices.
• Reconcile customer ledgers, bank receipts, payment gateway settlements, and marketplace payouts. Identify and resolve differences involving fees, refunds, deductions, or missing credits.
• Maintain organised records of invoices, receipts, credit notes, and supporting documents.

Sales reports and month-end closing

• Prepare daily sales summaries and weekly outstanding reports. Provide monthly sales breakdowns by channel, customer, and product.
• Report gross sales, discounts, returns, and net sales so management can see what was billed, what was collected, and what is still due.
• Reconcile sales registers at month-end and share billing records and supporting data with the CA or finance team for GST filings and audits.
• What we’re looking forHands-on experience independently handling sales entries, proforma invoices, tax invoices, and customer ledgers.
• Working knowledge of GST billing and proficiency in Tally Prime, Zoho Books, or similar accounting software.
• Strong Excel or Google Sheets skills for sales reporting, reconciliation, and receivables ageing.
• Experience with e-commerce settlements, dealer billing, or corporate purchase orders is a plus.
• Attention to detail and the ability to follow up on payment and billing discrepancies until they are resolved.
