Brief introduction - Role Summary/Purpose: 

Sr Analyst with a strong focus on ensuring accurate and efficient knowledge of Abandoned & Unclaimed Property (AUP) and ledger reconciliations. 

The ideal candidate should have a comprehensive understanding of corporate unclaimed property processes, including review, verification, and processing of stale/uncashed checks, month-end general ledger reconciliations, and state compliance reporting. Ensuring compliance with corporate policies and statutory regulations, and providing support to internal stakeholders regarding escheatment, due diligence, and ledger submissions.

 

Responsibilities:

• General Ledger & Month-End Reconciliations 

Execute monthly ledger balance display and transactional reviews. Monitor and review Colgate AUP General Ledger Account . Prepare and submit official monthly reconciliation packages and detail backup files to internal controllers and global bank reconciliation teams by established closing deadlines.  Audit multi-entity monthly bank statements against SAP outstanding check listings to verify clearing values and account numbers.  

 

• Daily & Monthly Outstanding Disbursals Oversight 

Perform proactive due diligence on stale checks aged 90+ days across Accounts Payable, Payroll/Commissions, Coupon Redemptions, and Consumer Affairs.  Collaborate with HR, Accounts Payable, and external payees to research uncashed checks, verify active status, acquire updated legal addresses, and process voids or re-issuances in SAP.  Audit Consumer Affairs and promotional check listings against gift card issuance databases to eliminate duplicate payments prior to escheatment.  

 

• Annual Reclassifications & Multi-Year Aging 

Perform annual aging reviews to reclassify unresolved liabilities older than two fiscal years into centralized balance sheet AUP accounts.  Coordinate annual data collection from subsidiary teams (CP Skin Health A/R and A/P, Colgate Consumer Affairs).  Conduct specialized audits on JPMorgan and Citibank accounts, applying filtering rules for check number strings, bank explanation codes, and void history. 

 

• Third-Party Vendor & Statutory State Compliance Management

Manage operational relationship with external compliance partner (MarketSphere) across Fall, Spring, and Summer statutory filing cycles.  Prepare and upload accurate data submission files into MarketSphere’s secure portal by strict cutoff deadlines.  Review preliminary escheatment reports, exemption analyses, and state due diligence mailing responses.  Request, verify, and execute seasonal custodial wire transfers (e.g., via M&T Bank) to fund state remittances.  Maintain state-by-state due diligence rules, threshold limits, and online negative reporting mandates.  

 

Required Qualifications:

• Education: Bachelor's Degree in Accounting, Finance, or Business Administration.

• Experience: Overall 6 Years of AP experience and preferably 1-2 years experience in Unclaimed Property (AUP) management

• Systems: Proficient in SAP and Advanced Excel

 

Preferred Qualifications:

• Strong Collaboration with global finance, payroll, and vendor management teams.

• Good communication skills for conducting due diligence outreach and resolving payee inquiries.
